Job Title: Assistant to the Executive Producer and SVP, Live
Reporting To: Executive Producer and SVP, Live
Location: Hybrid and Based in NY – In office at least three days a week (Tuesday, Wednesday & Thursday) – Monday and Friday in office as needed
Pay: This role is non-exempt and will pay between $24.03 - $26.44 an hour
Position Overview
The Assistant will provide comprehensive administrative and creative support to the Executive Producer and SVP, Live. This role serves as a central hub across live theatre and film projects, acting as a key liaison with internal departments, external partners, and high-level creative talent. The ideal candidate is highly organized, detail-oriented, discreet, and passionate about both theatre and film development.
Key Responsibilities:
Administrative & Executive Support
- Manage heavy calendar scheduling and meeting coordination across multiple time zones
- Answer and direct a high volume of phone calls with professionalism and discretion
- Organize and distribute Zoom links, conference lines, and meeting materials
- Take detailed notes during meetings and calls, and circulate follow-ups as needed
- Arrange domestic and international travel
- Arrange tickets to shows, industry events, and screenings
- Serve as first point of contact for producers, talent, executives, and industry partners
- Interface with writers, directors, talent, agents, and managers with utmost professionalism
- Handle a high volume of daily transactions and cross-departmental coordination
Development & Creative Support (Film and Theatre)
- Read and review scripts, outlines, decks, and other project materials; provide clear, concise coverage and feedback
- Participate in the evaluation of submissions on behalf of the department
- Track up-and-coming writers, directors, and talent; identify new specs, pitches, and fresh perspectives on existing IP
- Assist in any needs that arise for post-production and roll out to release.
- Assist with prep and production for theatre developmental workshops
- Attend developmental readings, workshops, and industry presentations as needed
- Organize and secure approvals for marketing and publicity materials for film and live theatre projects
Record Keeping & Systems Management
- Maintain and update submission databases (Airtable or similar systems)
- Create and maintain tracking calendars for Broadway, Off-Broadway, London, and other live theatre productions
- Maintain calendar of live productions, workshops, and developmental milestones
- Reconcile and track monthly department expenses via Expensify, including reimbursements
- Oversee general record keeping and departmental documentation
Research & Special Projects
- Conduct research and compile information for development, production, and strategic initiatives
- Assist with special projects related to departmental growth and expansion
- Interface with internal departments and external organizations including theatre groups and production partners
- Support additional responsibilities as assigned in alignment with the evolving needs of the department
Qualifications
- Strong interest in film and live theatre development
- Exceptional organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Ability to practice discretion and good judgment on an ongoing basis. A commitment to confidentiality is paramount.
- Ability to make sound decisions efficiently and effectively using practical approaches
- Outstanding time management and multi-tasking skills
- Excellent written and verbal communication skills
- Professional demeanor when interacting with high-profile talent and executives
- Script coverage experience preferred
- Proficiency in Microsoft Office, Google Workspace, Airtable (or similar database tools), and expense tracking systems
