SUMMARY OF POSITION
The primary responsibility of the Administrative Assistant is to provide administrative and development support to the Director of Touring & the Touring/Booking Department. The ideal candidate possesses good judgement and professionalism while maintaining independent workflow in a very fast-paced environment. Individuals successful in this role have a passion for the industry of music and live entertainment.
RESPONSIBILITIES
• Assist in managing the day-to-day operations of the Touring & Booking team
• Answer main phone line and respond to inquiries
• Distribute mail daily
• Organize and maintain files and records
• Assist with planning and scheduling meetings/appointments
• Assist with managing and executing projects and conducting research
• Prepare and edit incoming/outgoing correspondence, reporting and presentations
• Coordinate all travel logistics (domestic and international)
• Provide quality customer service
• Perform basic accounting tasks including preparing and filing expense reports
• Manage Touring & Booking calendars
• Gather, enter and/or update data in records and databases
• Anticipate Touring Director needs to ensure all work materials are available for a successful workday
• Travel and event attendance may be required
• Perform other duties as assigned
What You Bring to the Table:
• Bachelor's degree preferred (Communication, Business, Marketing)
• At least 1-3 years of administrative or personal assistant experience
• Bilingual Spanish both verbal and written required
• Strong computer skills required and high proficiency in Microsoft (Word, Excel, PowerPoint, Outlook.)
• Elevated level of written and verbal communication skills
• Knowledge of general office procedures, concepts, and practices
• Strong time management and organizational skills; ability to meet tight deadlines and handle multiple projects simultaneously; ability to organize events and tasks within a limited timeframe
• Quick comprehension skills, with the ability to distill and communicate substantial amounts of information effectively
• Reliable transportation
• Moderate understanding of supply management and schedule management
• Good understanding of travel logistic
• Moderate experience with event planning
