Job Description

Skills & Experience
Be Administrative
• Summarise & circulate TV Promotion Bulletins
• Administer gig tickets, CD stock and Merchandise ordering for the department, ensuring quantities & distribution are tracked
• Act as a point of contact for TV department at all times
• Assist and connect research chats/interviews as and when required
• Coordinate competitions (travel, tickets, communication with the winners, etc)
• Set up and mail music to TV contacts via MPE
• Update National TV schedules continuously
• Print National Playlists weekly, including data analysis
• Compile RadioMonitor Plays for the weekly Label Meeting
• Service Videos via Promostream on Fridays
• Complete MTV VSF forms each week for serviced videos, including Lyric Sheets
• Submit new videos for VEVO slates, coordinate the submissions with Marketing Managers
• Book restaurants the department where necessary for client entertaining
Be Operational
• Act as a point of contact for TV department at all times
• Responsible for booking directly all travel booking (including cars), for artists, competition winners, department when necessary
• Complete the Promotions Report every Friday
• Complete and update TV bookings from the indie TV pluggers
• Arrange phoners and some promo with artists/management/
• Update the TV channels Music Team with label copy, release dates, press release & biog information whenever a track is added to the playlist weekly
• Attending regular gigs
• Keep on top of the music that needs to be monitored on our TV tracking updates
• Responsible for notifying team when stock arrives
• Liaise with the PAs on Ticket orders and update them with the Artist Relations report weekly
Be Financial
• Become well versed in the Universal Rate Card and be aware of the acts who have exceptional rates
• Responsible for managing all departmental budgets, including raising purchase orders, negotiating costs in line with Universal's policies, approving TV budgets, liaising with the plugger on any promotions that require expenditure
• Responsible for managing out of house company budgets
• Monthly; collate the financial figures from the TV pluggers & organise into a document outlining promo expenditure. Reflecting the information gathered, initiate whether the department requires
• Represent National, Regional & out of house radio in the forecast meetings on a monthly basis
• Update the out of house plugger fees regularly
Person Specification
• Passionate about music with a positive and enthusiastic attitude
• Excellent time keeper
• Assertive and forward-thinking
• Previous experience working in a similar role, with a good working knowledge of the music industry, ideally within Radio
• Proven experience of working effectively and efficiently under pressure in a calm and organised manner
• Professional, proactive and flexible approach to work – ability to prioritise, multi-task & pre-empt problems before they occur
• Excellent track record of working to strict deadlines & maintaining a high standard of attention to detail
• Excellent verbal and written communication skills, and the ability to deal with people at all levels
• Ability to deal with situations discreetly & confidentially
• Team player able to work on own initiative
• Ability to build and maintain relationships internally and externally of Island and Universal
• Desire to work in Promotions
• A general understanding of major record label working environment, particularly promotions
• Good working knowledge of the music industry & Island's artists
• Able to demonstrate a diplomatic approach
• Be confident – have a voice and be able to communicate ideas
• Experience in using in house computer systems and packages including Excel, Word and Outlook
