We are currently seeking an exceptional Analyst (who loves data!) for our Global Vendor Management Office (VMO). This position reports to the Senior Director and is responsible for supporting the Global VMO and our US business units with the operational aspects of vendor oversight and contracts management. The VMO's guiding principle is to support UMG in obtaining the greatest value from our vendors through appropriate structuring of contracts, and contracts management combined with compliance and spend reporting.
How you'll CREATE:
Vendor Management
• Prepares monthly PO Compliance reports for review and issues all reports to US business units upon management approval
• Ensures that PO Compliance report comments from Business Units are addressed and resolved in a timely manner. Reports to management weekly on any outstanding issues.
• Becomes an expert in the SAP Business Objects reporting tool to facilitate on demand, ad-hoc and periodic spend reporting
• Obtains spend data from SAP Business Objects per given parameters, formats spreadsheets and performs data analysis to verify integrity of the data prior to present to management
• Gathers and presents specific vendor data (invoices, contracts, contacts, rates, terms etc.) to support special projects
• Maintains integrity of the spend classification process and uploads spend cube classification data to SAP monthly, ensuring that changes were effectively processed with no errors
• Can confidently present to the business on technical matters regarding spend and can translate technical terms into business terminology
• Maintains department analytics such as customer service response times, number of service requests addressed, open items, closed items etc.
Contracts Management
• Learn to administer the UMG contract lifecycle management (CLM) software (Icertis)
• Understand each step required for the upload of contracts into the CLM database
• Responsible for preparation of the excel sheets of contracts data for contracts upload, and collection of contract files from internal teams
• Maintain data integrity of contract metadata entering CLM database through checks and validation with SAP source data
• Work with CLM software vendor to resolve internal support tickets
• Assists and participates with all CLM-related department led initiatives
Administrative Support
• Maintains & Distributes Department Project Plans using Monday.com
• Collects weekly staff meeting topics, prepares agendas, takes, and distributes meeting minutes and follows-up on open items as needed
• Supports preparation for meetings: coordinating schedules and booking meetings, drafting of meeting materials including PowerPoint presentations, agendas, schedules
• Maintains shared file management integrity ensuring version control and naming conventions
• Is reliable as a second pair of eyes for editing of written reports and second checks on analytical data
• Ensures organizational integrity of the shared email inboxes is being followed
Bring your VIBE:
• Preferred experience with SAP BW or Business Objects reporting
• Desired experience with contract management software and Tableau dashboard build
• Collaboration tools savvy: Monday.com, Teams, Zoom, OneDrive, SharePoint
• Strong analytical background, comfort with complex data-oriented products & structured problem-solving capabilities
• Meticulous attention to detail
• Interacts effectively with all levels at UMG and externally with vendors as required
• Ability to work independently and as part of a team in a fast-paced environment
• Capacity to multi-task, prioritize and juggle competing priorities
• Essential to be self-motivated and extremely well organized
• Strong independent problem-solving and communication skills are needed to research issues and perform special projects tasks when needed
• Willingness and ability to learn new software and tools
• 3 years minimum relevant experience with accountability to measure output
• Experience in Vendor Management or Procurement, preferred
• BA/BS degree in a technical/business-oriented field (e.g., Business, Computer Science, MIS) required
• Advanced skills with the following applications required:
• MS Excel
• MS Word
• MS PowerPoint
• Intermediate to Advanced skills with the following applications preferred:
• Tableau
• SharePoint
Role may require travel to Woodland Hills office location up to 2 times a week for staff/client/vendor meetings. Remote work permitted for all other days.
