Job Description
The Production Operations Coordinator will work closely with the production and crewing department, road or visiting production groups, and vendors to gather all the necessary information to create and update production books for each live remote, and is responsible for disseminating this information to the production staff, venue and facility contacts, mobile truck vendors, tech manager and crew members. They will be responsible for all transmission scheduling. They will also submit credentials requests and book travel as needed.The Production Operations Coordinator must be detail oriented, be able to work in an a fast paced environment, be able to handle and adjust to daily changes to our production needs. Ability to prioritize tasks and meet deadlines is a must.
Responsibilities:
• Completing all Transmission Scheduling for live events, route outs, live to tape and non-live programming
• Inventorying technical equipment and working with Operations managers and engineering to identify
replacement and upgrade needs
• Coordinating shipping and receiving of technical equipment
• Creating and updating production event books for live remote events and studio shows. Includes gathering
information from operations departments of opposing teams and their broadcast operations partners
• Disseminating remote event information such as event books, crew lists, call times, and parking information to
the production staff, mobile truck vendors, venue/facilities contacts, tech managers, and crew members
• Gathering all information needed and Submitting credential requests for production staff and crew members
• Creates and updates various department spreadsheets in MS Excel and maintains shared documents via MS
Teams and SharePoint
• Data entry for employee time cards in XLT Payroll Management software for event payroll
• Coordinates with vendors for equipment or special requests for remote events
• Makes travel arrangements for production crew on occasion
Requirements:
• Bachelors degree preferred but not required
• A minimum of 2 to 3 years executive assistant or administrative experience is necessary, previous production experience preferred
• A demonstrated ability work without supervision in a high pressure environment is essential
• Excellent written and verbal communication skills are needed
• Task oriented / Detail Oriented / Problem solver
• Knowledge of Microsoft Office applications, including Word, Excel, Outlook, and Teams is required
• Frequently required use of hands and fingers to write, manipulate telephone and computer keyboard
• Occasionally required to bend and lift up to 25 pounds
• May be asked to be on site at live remotes events, may include some nights and weekend events
