Grants Administration Manager (Hybrid)

DEPARTMENT: PBS Foundation

STATUS: Full-time/Regular Exempt
SUPERVISOR: Director, Project Development and Grants Management

The PBS Foundation provides philanthropic support on behalf of the Public Broadcasting Service (PBS) and its member stations. In supporting PBS, the PBS Foundation seeks private funds from individuals, foundations, and corporations for priority initiatives and carries out such activities as prospect identification, qualification, cultivation, solicitation, and donor stewardship; generation of proposals; and grants and gift management.

The Grants Administration Manager works closely with the Director of Project Development and Grants Management to provide active administrative support and monitoring of all restricted monies received by PBS Foundation. This individual is responsible for meeting grant and restricted gift deadlines and will have the opportunity to collaborate on increasing the efficiency of processes. Additional projects may be assigned to support PBSF's strategic vision.

Essential duties will include but not limited to:
• Ensure timelines and deliverables are met through monitoring, assessing risk, and implementing solutions for varied internal stakeholders

• Manage administrative activities from pre-award to award close-out adhering to PBS policies and partnering with legal, accounting, and finance teams as well as the Foundation's Gift Processing Manager

• Manage all grant-related meetings on calendars and update as needed in response to bandwidth, attendees, and more

• Maintain files and database records for proposals and grants, tracking funder management activities, and compiling supporting materials for current and potentials grantors

• Draft grant reports, Letters of Inquiry (LOIs), and other correspondence with funders

• Promote adoption of internal processes

• Develop and run reports for stakeholders as necessary

• Prepare meeting materials, including the creation of research materials, analyses, reports, presentations, and more for external and internal stakeholders

• Maintain a positive, proactive relationship with various departments and functions involved in grants work.

• Provide ongoing administrative support to the Foundation's institutional giving fundraisers including but not limited to coordinating meetings, correspondence/mailings, as well as research

• Serve as a member of the Foundation operations support team, assisting in the presentations, meeting notes, supplies, renewing subscriptions, mail distribution and other administrative duties associated with efficient workflow of PBSF (PBS Foundation) office;

• Other duties and special projects as assigned.

Requirements for success:
• At least five years of recent non-profit work experience; Familiarity with a fundraising foundation, federal grants, or public media a plus.

• Bachelor's degree required; or the equivalent combination of experience, knowledge, skills and abilities.

• At least one year of experience using a fundraising donor management or grants management software system;

• Exceptional and adaptive writing and verbal communication with numerous audiences

• Passionate about building relationships and collaboration

• Demonstrated strong organization skills with a sharp attention to dates, consistency, and data

• Ability to set priorities, organize, and manage diverse activities to meet deadlines

• A self-starter and quick learner who is highly motivated and outcome-oriented, always seeking innovative approaches to project execution.

• Consistently demonstrates respect for inclusion, diversity, and ethics

• Proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook).

• Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered. Proof of vaccination required.

• Must live within commuting distance of PBS's Arlington, VA headquarters.
