Job Description
The Specialist, Document Control is responsible for the document management systems for Technical Services, overseeing the accuracy and integrity of business documents throughout the document life cycle, which includes filing, archiving, retrieving, purging, and disposing.
• Partners with Engineering, Quality, Regulatory, Inventory, Project Managers, and any internal or external stakeholders to maintain the integrity of the document control function.
• Organize and review process/procedure changes/project deliverables and monitor quality to ensure all documents conform to established standards and procedures.
• Administers the Electronic Document Control Management System for Technical Services in partnership with internal and Universal Parks and Resorts stakeholders, including responsibility for supporting the setup and transition to an EDMS system.
• Contributes toward the development of a procedural framework for collecting controlled documents, including reviewing current document control procedures and tools.
• Develops and maintains document control procedures and participates in the development and implementation of document control tools, such as scanning hardware, computer software, etc.
• Develops and delivers training materials and protocols for specific user types.
• Ensures the information and management control system is implemented in compliance with the company standards; and is updated to reflect revisions to those standards.
• Maintains awareness of new departmental initiatives that may impact the control or distribution of information on a project.
• Review, organize, and provide all necessary documentation to clients in preparation of audits and inspections.
• Provides an interface to IT Support for document control issues, including enhancements to existing software, developing recommendations for new hardware and/or software and identify trends and recommend best practices.
• Develops routine reports and metrics to gauge success and uses a data driven approach to identifying areas of opportunity to enhance the document control function.
• Contributes to the day-to-day and strategic plan for document control policies, document review, approval, archival, and quality control.
• Performs other duties as assigned.
• Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.

Qualifications
• Bachelor's degree in a related field; or equivalent combination of education and experience required.
• 2-4 years of document control experience.
• Demonstrated experience using Microsoft Office Suite and Adobe Acrobat.
• Solid understanding of computer-aided design software.
• Experience working with large-scale Electronic Document Management Systems, including administering and workflow development.
• Ability and willingness to work overtime, weekends and holidays with short notice in a variable-hour 7-day a week, fast-paced operation.
• Self-starter with proven ability to work autonomously.
• Positive, proactive, results-oriented focus; including the willingness and capability to assume additional responsibilities.
• Proven ability to proactively partner across teams and with a collaborative mindset.
• Detailed planning and organizing, ability to prioritize and manage change.
• Must be able to occasionally wrap, lift and move boxes/packages of up to 40-pounds.
