Responsibilities

The Project Coordinator oversees different stages of many projects for the Visual Merchandising Department. This role will monitor the overall progress of projects and will provide regular status updates to the Department's leadership. This role will schedule and attend meetings between stakeholders to ensure projects move forward to completion successfully.

Essential Functions
• Responsible for the coordination and logistics to ensure the successful execution of Visual Merchandising projects and initiatives.
• Responsibilities include but are not limited to hands-on support for all store visual merchandising projects, scheduling and coordination with internal and external vendors pertaining to projects, the timely delivery/tracking of VMD orders and supplies.
• Organization of all VMD storage areas in partnership with VM management.
• Participate in weekly park walks and address all repair and maintenance issues for the retail venues and carnival games by submitting work orders to Technical Services Department. Follow through to completion.
• Responsible for purchasing, logging, tracking, checking in, and storage of all visual merchandising department elements.
• Responsible for the maintenance of the VMD budget log by entering and reconciling estimates/invoices.
• Daily maintenance and management of all invoices. Follow-up with vendors by phone and email correspondence for delivery dates as well as invoices that are overdue.
• Partner with USH finance for accurate bookkeeping.
• Set-up of all new vendors in the USH systems.
• Coordinate and ensure the timely deliveries of all hardware, retail collateral, graphics, and visual props by venue, by project
• Assist in all visual merchandising sets and seasonal strikes, which may require early mornings, split shifts, late night hours, and even weekends.
• Responsible for keeping the VMD project master calendar up to date.
• Ability to start a project by taking the needed steps and providing coordination for successful project completion by meeting milestones through ambiguity in a fast-paced environment.
• Ability to successfully multitask projects while still maintaining daily tasks pertaining to the Visual Merchandising Department.
• Ability to interact professionally and effectively through verbal and written communication.
• Ability to independently prioritize and accomplish multiple projects within timelines.

Qualifications
• Minimum 3+ years of administrative or similar working experience.
• Solid knowledge of Office Suite (e.g., Excel, Word, Outlook, Power point); Adobe Creative Suite is a plus.
• Documentation management and ability to use project management tools
• Attention to detail even under pressure
• Time management skills with the ability to meet deadlines
• Must be willing to work weekends, holidays, and overnights as required.
• Must submit an attestation disclosing your COVID-19 vaccination status and, if partially or fully vaccinated, submit your vaccination record no later than 7 days following commencement of employment.
• Must be fully vaccinated against COVID-19 at the commencement of employment or adhere to enhanced protocols in select work settings or where jurisdictionally mandated.

Pay Range: $21.50 - $23.00

• Must be able to lift a minimum of 25 lbs. and be able to stand for more than 8 hours.
• Must have strong prioritization skills, strategic thinking, and strong planning skills.
• Must be organized, deadline-oriented, collaborative, an effective communicator, have strong time management skills, and be self-motivated.
• Must be outgoing and a strong relationship builder.
• Must be a self-motivated problem solver who can work independently and within a team environment.
• Can effortlessly multitask and manage multiple competing projects
• Recommended knowledge of Budgeting, Finance, bookkeeping.
