Job Description

MediaLink is seeking a motivated event professional to join our events team. Reporting directly to SVP on a day-to-day and the MD, the successful candidate must have a proven track record of support in planning, operations and logistics for top-tier events of all sizes with preferential focus on our key. Candidate must be a proactive self-starter, a team player, and comfortable in a fast-paced demanding environment.

As a key member of the events team, this role is a central support role on the events team for MediaLink's large tentpole events as well as event lead for MediaLink's smaller annual events. Team management, attention to detail, list management, budgeting and contract management are necessary to success.

What you will do:
• Coordinate, oversee and manage event details both in the planning phase and on-site
• Ability to plan, ideate and execute events of all sizes (intimate client dinners to 1500+ attended parties and large-scale presence at conferences)
• Oversee billing and contract process for department
• Budget management and reconciliation, always challenging vendors for most competitive pricing
• Effective client management and ability to route information and approvals between internal and external contacts
• Be an active participant in sales generating ideas, brainstorms and creative ideation
• Come armed with a rolodex of vendor and venue relationships, maintain and negotiate vendor relationships to ensure competitive pricing
• Oversee and manage our internal invite operation systems and have ownership of departmental process, including overhauling the system to streamline our internal process, curation of lists, allocations, registration/RSVP platform (negotiating annual contracts – currently Splash), and any promotional email materials (save the dates etc.)
• Oversee and manage RSVP lists and event check in process
• Source sponsorship collateral, premiums/holiday gifts and maintain inventory of companies branded items
• Work with in-house graphic designer to create invites and event collateral for events
• Experience with large group travel, hotel blocks and transportation for off-site events

What you will need:
• Previous experience planning and executing at industry tentpole events is a must (Advertising Week, Cannes Lions, CES, DCNF, Dmexco, Mobile World Congress, SXSW)
• Confident self-starter with the ability to work independently
• Strong communication skills and a deep level of detail (internal and client facing)
• Ability to interact comfortably and effectively with employees at the company at all levels as well as senior external partners and clients
• Ability to work under high pressure in a fast-paced environment
• Possess strong attention to detail, problem solving and organization skills
• Great social and interpersonal skills and a team player with a positive attitude who works well with others
• In-depth understanding of event process and relevant technologies
• Advanced in Outlook, Excel, PowerPoint, Google Drive and DropBox organization
• Working knowledge of event marketing platforms such as Splash, Event Farm & MailChimp
• Working knowledge of Salesforce and Oracle
• Ability to keep information highly confidential
• Ability to travel
