Role Description
Working within VIP Nation International you will be assisting the Senior Event Manager in overseeing all aspects of the operational/fulfilment side of the business supporting the team needs in delivering and planning events. In this role you will be involved with all aspects of touring logistics and fulfilment, but also be heavily involved with the day to day administrative tasks, overall shipping of equipment and stock management.
For this role you should possess exceptional communication, interpersonal and leadership skills. Having experience in the following roles: Facility Coordinator, Event Project Manager, Tour Rep, Production Coordinator, Venue Management would be a distinct advantage

Competencies / Skills / Knowledge / Experience
• Excellent verbal communication skills
• Experienced in the fulfilment of VIP activity across international tours
• Accurately managing budgets to deadline
• Previous experience in managing a team of event staff
• The candidate should have previous experience in writing and delivering briefings to an appropriate standard.
• Basic understanding of Health and Safety requirements, including risk assessments and familiarity with all prevailing event day emergency plans.
• Proficiency in Microsoft applications especially Excel is essential.
• Basic knowledge of basic food hygiene and liquor licensing regulations would be an advantage.
• Previous corporate /private events experience would be a distinct advantage
• Experience in a customer services environment, ideally in a dispute resolution capacity
• Good command of written English and additional languages would be an advantage
• Previous experience in an admin heavy role is desirable

What the role includes
• Project managing all advancing aspects of the delivery of the VIP packages on a given tour across Europe
• Lead the advancing of the packages with European local teams and Uk venues and ensure continuity across all shows
• Co-ordinate logistical arrangements across international markets
• Help create presentation decks for all visual elements requiring approval such as VIP merchandise and lounge décor
• Be the direct point of contact to the artist management teams, on tour representatives, production teams and all local contacts.
• Manage the logistics of the equipment going on a tour as well as returns
• Help manage VIP reps and VIP rep advancing where necessary
• Be in constant communication with the touring team
• Agree and compile entry information and timings for letters/emails and itineraries for guests.
• Manage administrative tasks using tools such as Mailchimp, Attendium, Saleforce, Concur etc..
• Compile and disseminate briefing packs + analyse post show reports and act based on VIP rep and internal sales and marketing feedback
• Actively source and recruit casual staff for events, manage and fulfil the payroll process
• Monitor staffing levels at shows.
• Assist in ensuring specified goods and services are delivered to the customers before, during and after the event, as may be appropriate.
• Assist in sourcing suppliers, including facilitating tender processes (where required).
• Ensure the tour accountant has all cost information, relevant PO's, and receipts prior to settlement.
• Deal with any event day customer issues which local event staffing or VIP reps are unable to resolve.
