C3 Presents - Seasonal Credential Manager
C3 Presents creates music festival experiences for millions of fans across the globe, setting the new standard each year for events that are as memorable as they are spectacular, including Austin City Limits Music Festival in Texas, Lollapalooza in Chicago (and seven other countries), and Bonnaroo in Manchester, Tennessee.
THE JOB
The Seasonal Credentials Manager is responsible for overseeing all aspects of festival credentialing for Lollapalooza and Austin City Limits Music Festival. This role is critical to ensuring secure, efficient, and accurate access for artists, crew, volunteers, vendors, staff, and VIP guests.
The ideal candidate is highly organized, detail-oriented, and comfortable managing both people and systems in a faced-paced, live-event environment. This position manages credential issuance, distribution, tracking, and security while leading a team and collaborating cross-functionally to deliver a seamless festival experience.
This is a temporary, seasonal, part-time position administered through a third-party service provider.
WHAT THIS ROLE WILL DO
• Credentials Operations
• Oversee all credentialing processes, including database setup, monitoring credential requests, on-site distribution, and customer service
• Ensure accurate credential distribution and daily reconciliation of inventory
• Troubleshoot technical or operational credentialing issues as they arise
• Customer Service & Support
• Address and resolve credential-related issues for artists, staff, volunteers, vendors, and guests
• Coordinate with festival staff to ensure all credential-related customer service needs are met
• Foster a friendly, professional, and welcoming environment for all festival artists, staff, volunteers, vendors, and guests
• Team Management
• Hire, train, and supervise credentials staff to ensure efficient, friendly, and professional service
• Ensure all staff are fully trained prior to their first shift
• Monitor staff performance and provide coaching, guidance, and support as needed
• Enforce adherence to festival policies, procedures, and customer service standards
• Communicate staffing needs or challenges to the ticketing management team
• Track and submit payroll information for all credentials staff in compliance with HR deadlines
• Data & Inventory Management
• Set up, maintain and update credential databases with a high level of accuracy
• Track credential inventory and manage access permissions
• Credential Distribution & Security
• Oversee the preparation, distribution, and tracking of credentials for all festival participants, including artists, staff, volunteers, vendors, and guests
• Respond promptly to misplaced, damaged, or unauthorized credentials
• On-Site Support:
• Provide real-time credentials support to artists, staff, volunteers, vendors, and security personnel
• Troubleshoot access issues and issue replacement credentials when necessary
• Pre-Festival Preparations:
• Manage setup and organization of the credentials area to ensure it is fully operational and welcoming, including:
• Proper signage placement
• Tables and chairs are in place
• Ticketing equipment is set up and ready to run
• Credentials have been inventoried and properly stored
• Essential supplies (bins, scissors, bags, etc.)
• Reliable Wi-Fi connectivity
• To-go meals are requested and distribution plan is in place
• Water availability for staff
• Site operations equipment (tents with walls, lighting, power, portos, trash receptacles, etc.)
• Gain full proficiency in credentialing systems, Work with the ticketing management team to have full mastery of the credentialing system, approval process, and specific programs that pertain to the festival.
• Ensure staff have the necessary tools, equipment, and training prior to opening day.
• Review access to ticketing and database platforms to ensure manager and staff have access to all necessary tools.
• Prepare and distribute bulk credentials packets
• Assist with fulfillment tasks as necessary
• Collaboration:
• Work cross-functionally with the Artist Relations, Production, Operations, Security, and Ticketing teams to resolve access-related issues and ensure smooth communication
• Post-Festival:
• Complete a post-festival festival recap and recommendations report to support continuous improvement
• Provide performance feedback and reviews for credentialing staff
• Perform other duties and projects as assigned
WHAT THIS PERSON WILL BRING
• 2-4 years' proven experience in event ticketing operations, preferably in festivals or large-scale events
• Strong leadership skills with experience in managing staff
• Proficiency in venue ticketing systems and processes. Experience with RFID a plus.
• Solid skills with Microsoft Suite, including Excel, Word and Outlook
• Excellent organizational skills and attention to detail
• Strong communication skills with the ability to communicate effectively with artists, internal teams, volunteers, vendors, and guests
• Demonstrated integrity, professionalism, and sound judgement in all business interactions
• Enthusiastic, proactive, and committed to excellence with a positive and collaborative approach
• Strong problem-solving skills, with the ability to make quick decisions under pressure
• Flexibility to work evenings, weekends, and extended hours during festivals
• Ability to travel and maintain flexibility in work hours and availability during festivals
