THE ROLE
Electric Sky Fabrication is looking for an Accounts Payable & Facility Specialist who performs crucial job duties that ensure vendors get paid for services and products rendered. We are looking for a reliable and precise professional to help us properly maintain our payable information, in addition to running the front desk operation of our warehouse. You will maintain current accounts and assist in invoicing functions. We are seeking an experienced candidate who can analyze expense reports to assign payments to the proper cost centers, work with vendors to resolve past due invoices, and reconcile monthly statements with vendors within the entertainment industry. This position is not a remote position.
RESPONSIBILITIES
• Accounts Payable Responsibilities
• Respond to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment, recording sales tax, assisting with bank reconciliations, and documenting loans
• Research information to provide accurate and timely solutions to internal clients and vendors at multiple locations
• Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used
• Generate payment to vendors on a routine schedule and match the check with backup for review by the financial manager
• Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to company standards
• Review automatic payments to ensure correct coding and authorization as well as sufficient contracts and documentation
• Develop and maintain a filing system for financial information, records and documents to ensure easily available information
• Monitor account balances, track expenses, prepare analyses of accounts and related financial activity to produce monthly financial reports
• Facility Responsibilities
• Greet and welcome guests as soon as they arrive
• Ensure reception and conference areas are tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
• Receive, sort and distribute daily mail/deliveries
• Maintain office security by following safety procedures and controlling access via the front desk
• Assist Human Resources with efforts to consolidate, set up or clean out areas of the office
• At times, provide remote support to IT on basic technical tasks
• Assist other areas of the business as needed
QUALIFICATIONS
• Associate's degree in accounting with relevant work experience
• Ability to work independently and as part of a team
• Proven problem-solving skills and work ethic
• Excellent verbal, written, and interpersonal communication skills
• Information management skills
• Three years of general accounting experience
WORK ENVIRONMENT
• Must be able to tolerate loud noise levels & busy environments
• May work in drastic temperature climates
• Must be willing to work during evening and weekend hours, as required, to meet deadlines
