Senior Manager, Commercial Experience – Program Management B2C Travel and IVH / OVH Product

THE ROLE
The role of the Sr. Manager, Commercial Experience – Program Management is to bring the B2C Travel Product to life for the Olympic & Paralympic Games travel and IVH/OVH packages. This role will primarily serve as the program management support for the B2C travel and IVH/OVH product. He/she will work with internal and external constituents to strategize, plan and manage the operations of a flawless execution of the product with a focus on the delivery of the hotel operations.
This role will work in market to build and establish relationships with On Location, Paris 2024, local vendors and companies to ensure an authentic, unique and once-in-lifetime experience for guests.
ESSENTIAL FUNCTIONS & RESPONSIBILTIES
• Overall support of the Commercial Experience team including the strategy, planning and delivery
• Support the program management of the B2C Travel and IVH/OVH product including the development of the guest experience and journey based on product while implementing the correct level of service
• Develop, build and manage relationships as required with internal and external constituents including IOC, Paris 2024, vendors, suppliers, OL executives and management, client leads and Functional Areas to facilitate and move aspects of the program forward as required
• Manage the planning, operations, and communications with the FAs for the B2C travel and IVH/OVH products and ensure FA leads have correct program information for execution including change management
• Create, build and implement process, best practices, and efficiencies for the team and project as needed
• Focus on the guest journey in market - from time of arrival to the airport, the hotel arrival, etc.
• Establish plan for guest arrivals at the airport who will require public Transportation
• Create a scalable hotel arrival model will need to be put into place including a catalogue for small format creative
• Oversee management of guest program hotel check in/hospitality space for 100+ hotels
• Work in conjunction with the accommodations team to develop the flow and process for hotel operations from rooming list to onsite execution
• Lead ideation, creation, and production of all small format collateral for the program
• Support management of the operational elements within the commercial experience including program and guest check in, guest services/concierges planning and operations
• Support creation of program and guest check in training materials for all guest services/concierges staff
• Support merchandise program including ideation and research, procurement and management of vendors, orders, etc.
• Support as needed with the Digital Team to build plan for delivery of the operations including reports for guest data, itinerary building, and program operations needed
• Analyze and review financials relating to post-event sales, event expenses, payments, reconciliations, client reporting, and general ledger allocations
• Manage budget and accounting for the product spend including vendor set up and payments
• Manage RFP and onboarding for new vendors globally or in market as needed
• Assist with the contracting process, including negotiations, escalations, for mutually effective solutions and ensure On Location receives the best available rates in the market for Olympics and Paralympics related Commercial Experiences
• Assist with the preparation of event materials throughout the planning and execution of events, collaborating with the appropriate functional areas, such as marketing
• Help create and distribute event materials, communications, and presentation decks for internal and external constituents
• Work in conjunction and communicate diligently as it relates to Commercial Experiences to all function areas
• Manage process development by analyzing current practices, then identifying opportunities to streamline procedures that directly impact productivity
• Cultivate a working knowledge of all operations events/services
• Execute all other duties assigned by the team or leadership
• Support planning and execution of site visits including logistics for hotels, venues, restaurants, etc.
• Available to assist other workstreams related to Olympics and Paralympics as needed
Other Duties & Responsibilities
• Create presentations and documentation in Microsoft office (PPT, Word, Excel, etc.) or Keynote as needed and assigned
• Develop and implement specific event procedures and systems
• Conduct and attend meetings as needed, including commercial experience meetings
• Attend meetings and take notes to record updates and next steps
• Manage timelines and deadlines related to assignments
• Participate in brainstorm sessions; research, ideate and provide creative ideas
• Manage assigned projects through companies' project management system
• Manage other administrative duties as needed
Travel
Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. This position may require up to 15% travel.

Required Education and/or Experience, Knowledge, Skills, and Abilities:
• Experience with Global Events and Operations including 2+ Olympic Games, FIFA World Cup, and/or Rugby World Cup required
• Experience with extensive experience in the entire life cycle of a planning a Global Event from strategy to execution required
• Must have an interest in travel, tours, experiences, experiential marketing and continuously research new concepts, interesting ideas and activations
• Bachelor's Degree in Hospitality, Event Management, Sports Marketing and/or a related field, or equivalent experience preferred
• Experience in the Travel & Hospitality industry
• Experience in strategic thinking and planning events including putting process and best practices in place
