Cluster Manager – In Venue Hospitality (IVH) – Olympic and Paralympic Games
Overall Scope of Role

Cluster Manager, In Venue Hospitality (IVH) Event Production is a key role with a primary responsibility for providing operational support across multiple IVH programs occurring within various Olympic Sporting venues (volume depending on the size of the cluster) during the 2024 Paris Olympic and Paralympic Games. The Cluster Manager works closely with:
• the Director, Event Production;
• the 5 other cluster managers (to share both the best practices as well as the problems and the solutions provided);
• On Location FAs;
• P24 relevant interlocutors, especially those from the Venue Business Operations team;
• Event Delivery Entities (EDE) representatives.

The person will focus on delivering the most exceptional experiences by coordinating the relationships with the relevant parties and making the appropriate decisions to comply with the specifications and succeed.

Essential Functions & Responsibilities
• Work in collaboration and coordination with Director, In Venue Hospitality to:
• manage venue contracts;
• deliver the best hospitality programs with as much consistency as possible with the building structure/organization and usual use by the team in place;
• make him aware about the day-to-day both progresses and challenges; and ask his input regarding every significant need/request in order to make decisions or get the decision allowing to move forward;
• Work in partnership with the commercial product architecture team to define and/or adjust service levels and generate budget per Olympic venue based upon sport, demand and session;
• Work in partnership with all FAs involved and more especially, with those having an impact on the Event Production team job;
• Be the representative of the hospitality unit (led by OLE) in the global P24 venue business operations (VBO) department;
• Manage overall project milestones and timelines;
• Manage P&L and track expenditures;
• Develop a working database of vendors;
• Work in coordination with the EDE team and the Production Agency to ideate and render hospitality space with a focus on culture, hospitality, sport and sustainability;
• Identify potential sponsorship assets and ''in kind'' opportunities;
• Encourage and support use of sustainable products, when available;
• Aid in the production and delivery of Olympic Family and International Federation Lounges;
• Attend all meetings (virtual/in person) in relation with his/her cluster and report on behalf of the Event Production team(s) as it relates to the IVH hospitality programs.

General Responsibilities:
• Being the eyes and ears on-site as well as the safeguard of the Event Production team and more globally of the company;
• Update the existing or upcoming tools (Sharepoint, Confluence, etc);
• Facilitate and lead production meetings with key staff;
• Troubleshoot, anticipate and act proactively on event aspects of role, leading up and following turn over to production implementation team;
• Forecast, qualify and maintain budget, especially by updating it after each decision made having an impact on it;
• Administrative & Other, including but not limited to:
• Expense Reports;
• File storage;
• Monthly days reports;
Other Duties & Responsibilities

Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems, alone or alongside other managers and/or the Director, Event Production.

Travel

Must be adaptable with work and travel schedule. Available to travel (domestic and international) for work during holidays and key event times.

The Cluster ''football + LIL'' will imply many travel with only one venue in Paris and the 7 others in provincial cities (Lille, Lyon, St Etienne, Nice, Marseille, Bordeaux and Nantes).

Qualifications

Required Education and/or Experience, Knowledge, Skills, and Abilities:
• Bachelor's Degree in Communications, Public Relations, Marketing, Hospitality Management, Sports Management, or a related field, or equivalent experience required;
• Minimum of 3-5 years of experience in managing (and producing) events and/or brand activations and/or event teams;
• Experience in managing and producing events in Stadium and Temporary Structure environments;
• Prior experience with large-scale (sports) events in France, a plus;
• Speaks and writes fluent business French; other languages encouraged;
• Proficient user of Microsoft Office Suite;
• Knowledge of SharePoint | Smartsheets | Microsoft Teams | Zoom | Confluence
• Highly organized and process-oriented;
• Ability to:
• multi-task;
• remain calm in high-pressure situations;
• work in a moving environment (growing company who recently joined 100% the Endeavor group and whose European subsidiary has been created only a year ago).
• Strong communication, interpersonal, negotiation and conflict resolution skills;
• Self-motivated, resourceful, and directed, requiring minimal supervision;
• Good timekeeping and work ethic that is characterized by commitment, motivation, and energy;
• Presently resides and/or is willing to relocate to and/or is ready to be as often as necessary in Paris; France.
• Flexibility and positive attitude to work long days, evenings, weekends and holidays when necessary.
