Job Description

ASU 365 Community Union is seeking an event professional to coordinate non-athletic events and event spaces in Sun Devil Stadium, Desert Financial Arena and the ASU Arboretum. The ideal candidate will provide high-level organization, coordination and execution of events for a variety of users in each space in order to facilitate building processes and protocols for this newer unit under ASU Cultural Affairs. This position reports to the Event Operations Manager and is full time, salaried and requires a flexible work schedule to accommodate night, weekend and/or holiday events.

Primary Responsibilities

· Coordinate, plan and implement meetings/events within ASU 365 Community Union. Meetings/events vary in needs which could include, audio/visual, catering, staffing, or other technology

· Act as liaison to other departments or student groups for coordinating use of space

· Establish time frames to ensure handling of all meeting/event details

· Respond to all inquiries regarding events status; prepares and responds to all regulatory reporting/filings to ensure compliance, as well as resolving emergency situations and/or patron problems such as medical emergencies or security incidents; ensures all aspects of events are implemented and controlled according to plans

· Responsible for logistics of load-in and load-out of events including ensuring event spaces are cleaned before and after use

· Work as a team member in coordinating on larger events including concerts, conference and expositions

· Prepare and distribute administrative reports and establish time frames to ensure handling of all event details

· Communicate and collaborates with ASU Athletics staff on availability and utilization of shared spaces

· Provide on-site presence and support as needed during events to ensure coordination of all aspects of the event including but not limited to: service levels, contract adherence, vendor selection, collateral materials, set-up/break down and registration

· Assist with settlement of event by promptly providing estimate documentation, promptly submitting event reports and reviewing invoices in a timely fashion to determine fiscal accuracy of charges/fees.

· Work closely with team to identify and prioritize events issues and corrective action strategies

· Assist with hiring, training, coaching, scheduling, and time reporting of the part-time and student staff

· Coordinate off-campus companies and suppliers relative to the events

· Develop a personal code of conduct to help ensure our work environment is welcoming, equitable and supports our department mission and core values along with the ASU Charter

· Represents department on committees as assigned by supervisor

· Runs errands, which may require driving a 7-passenger van and/or electric golf cart

· Other duties and special projects as assigned

Knowledge and Skills Desired

· Understanding of event management principles, methods and techniques

· Skilled in handling complaints and managing conflict

· Ability to communicate effectively across a diverse audience in different mediums

· Skill in establishing and maintaining effective working relationships and facilitating work teams

· Ability to manage multiple projects and thrive in a fast-paced environment

· Ability to work flexible hours for events scheduled on evenings and weekends

· Ability to drive on university business and possess a valid US driver license upon employment

· Acute attention to detail and verification of facts

Minimum Qualifications

· Associate’s degree in Public Administration, Business Administration or a related field AND two years of event planning and coordinating experience; OR

· Four years of public relations and event planning/coordinating experience; OR

· Any equivalent combinations of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Posted salary: $42,000 to $44,000 annually; DOE
