Administrative Assistant (NYC)
Summary of Position:
The Administrative Assistant will provide administrative support for the SVP, Marketing and team and is responsible for managing internal and external communications and requests to ensure a seamless flow of information and establishing the priority of information and work product in support of the overall business objectives of the department.
Essential Duties and Responsibilities:
• Manage and maintain the executive’s calendar, maintain contacts, and assist in meeting preparation
• Schedule/coordinate meetings, conferences and conference calls
• Provide phone coverage with the ability to prioritize calls, texts, emails, etc. and respond independently when necessary
• Prepare PowerPoints and other materials for the team and department presentations
• Works with Travel department to arrange travel for SVPs and other department staff
• Manage, track, and submit timely invoices for vendor and department expenses
• Additional duties and responsibilities as required
Experience & Skills:
• 1+ years of experience in an administrative role handling calendars, schedules, travel, expenses, multitasking, and managing high volume of administrative work
• Bachelor’s Degree in Marketing or Communications or related field preferred, or equivalent combination of education and experience
• Experienced and confident administrative assistant with a good demeanor under pressure and professional engaging attitude
• Proactive; takes initiative and has the ability to think ahead and anticipate the needs of the executive and understands how to prioritize and respond accordingly. Responds to requests in a timely manner.
• Sense of ownership and represents the department with the highest level of integrity and diplomacy
• Self-motivated, quick-thinking, flexible, able to pivot when necessary, thorough and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and an unwavering attention to detail at all times. Strong project management skills.
• Positive thinker with ability to exercise good judgment
• Works collaboratively with administrative assistants within larger communications team and across disciplines
• Team-player who operates in a fast paced, collaborative setting
• Ability to be discrete and maintain confidential information
• Strong written and verbal communication skills
• Strong Proficiency in MS PowerPoint, Word and Excel
• Aptitude in basic math (budget, expense reporting, etc)
• Experience interacting with high-level executives and talent and handling information with the utmost discretion and confidentiality
