We are currently looking to recruit an Financial Assistant to work in the Finance department in the Sheffield office.

Position

The role of the Finance Admin Assitant will be to support the finance team and the rest of the company by undertaking a varied number of tasks, including:

Making payments
• Prepare the Sage payment reports for weekly US and UK payment runs
• Entering payments onto the online banking system and ensuring that the relevant information is presented for authorisation by the finance team
• Entering bank details for suppliers onto the banking portal where necessary
• Raising cheques when necessary
• Updating SAGE with the payments made
• Sending out remittances

Purchase ledger
• Ensuring purchase invoices are logged and approved in accordance with authority levels
• Posting purchase invoices for the UK & US companies into Sage
• Collating expense reports and checking.
• Dealing with all queries relating to invoices in both the US and UK

Expenses
• Ensuring expenses are submitted accurately, with a VAT invoices supplied by WD5
• Ensure coding is correct and necessary authorisation has been sort.
• Entering expense reports on SAGE.

Purchase order process
• Issuing POs as requested by staff
• Ensuring that POs are approved as required in the procedures
• Matching purchase invoices as received against POs and keeping track of outstanding POs

Bank accounts
• Posting nominal payments on Sage as required.
• Taking cheques to the bank as received

ECHO
• Uploading invoices from Echo onto Sage
• Onboarding new translators and voice talent and ensuring the paperwork is correctly completed
• Matching/checking information supplied by translators to Purchase Orders
• Raising queries where necessary
• Authorising translator invoices as appropriate on Sage software.
• Answering queries/emails through ZAPS/Echo on a timely basis
• Preparing reports for management when required

Requirements

Essential skills include a high degree of accuracy, and organization. The candidate should be able to work well on their own and as part of a team. The finance department in Sheffield is not large and the above list is not exhaustive. The candidate should be willing to take on tasks outside of the purchase ledger function.
