The Job

Warner Bros. Home Entertainment Inc. seeks an Executive Assistant II for the Digital Product Management department. The Executive Assistant II provides executive support to a 2 SVPs, working in the mobile and console games and digital businesses. In addition to the 2 Executives, this position has additional department administrative and operations support responsibilities that include, but not limited to, the job responsibilities outlined below and other projects as directed by the executive.

The Daily
• Executive calendars and group meetings. Organizes and prioritizes critical issues and required information for the Executive to facilitate efficient decision making. May make decisions on behalf of Executives on the priority of the meeting requests and ensure schedules are optimized as best as possible.
• Schedule and manage meetings and/or conference calls as directed by Executive, including but not limited to booking rooms, catering, making copies, and arranging visitor access.
• Prepare draft correspondence, presentations, and analysis. Handle all materials that are needed by internal and external stakeholders such as meeting agendas, copies of documents.
• Responsible for planning, organizing and coordinating the general operations of each Executive's respective departments, collaborating with related groups to develop/implement standardized policies and procedures to improve overall efficiency and effectiveness of the department's operations, fulfill department requests, etc.
• Coordinate travel as needed for Executives, including accurate itinerary summaries, travel logistics, and scheduling of all transportation, hotels & meetings. Provide planned itineraries well in advance of each trip. Process timely & accurate expense reports for Executives after each business trip. Train new hires on internal T&E processes and reconcile reimbursements as received. Manage vacation schedule for team and assist with work record approvals.
• Manage department expenses posted on the department P-card. Collaborate with appropriate groups as it relates to office planning, such as identifying individual work station set-up, relocation of work stations & move logistics of assigned department. As part of the WBG SF administrative team, shares in the coverage of the front desk.

The Essentials
• Minimum 5 years experience in a professional service environment as an administrative assistant or executive secretary required.
• College degree preferable.
• Must type minimum 50-60 wpm with accuracy.
• Should possess strong PC Skills, including proficiency with MS Outlook, Word, Excel, PowerPoint, & Database management.
• Must have strong proficiency in grammar & spelling.
• Must have general knowledge of standard filing procedures and general office procedures & practices.
• Experience in operating various office equipment required.
• Must have ability to adapt to changing priorities & crisis situations.
• Must have excellent interpersonal & communication skills.
• Ability to be tactful with personnel at all levels of company required.
• Ability to work in a fast-pace environment & prioritize work to meet specific deadlines required.
• Must be self-motivated & results oriented.
