Job Title: Assistant, A&R Administration and Business & Legal Affairs

A little bit about our team:

At the intersection of A&R, Business Affairs and Finance, A&R Administration oversees the recording process from a business perspective. This includes administering all A&R related budgets and handling recording-related legal issues and logistics. Further, the department serves as the primary interface between A&R/Marketing/Business Affairs and Production in the creation and release of all commercial and promotional products.

Elektra Music Group's Business & Legal Affairs department is comprised of two attorneys who are responsible for structuring, negotiating and drafting all new artist agreements as well as quarterbacking the myriad business and legal issues that arise in connection with Elektra's rostered artists.

Your job will be to provide strong administrative support to both teams with the opportunity to hone your communication, writing and research skills.

This position reports to the SVP of A&R Administration and the EVP of Business & Legal Affairs.

Working for both Business & Legal Affairs and A&R Administration gives you a great opportunity to get a bird's eye view of the legal issues relevant to the entire music industry and to learn the nitty-gritty of label operations while interfacing with people from all across the label.

Here you'll get to:
In addition to general assistant duties (including answering phones and scheduling meetings):
• Coordinate artist travel, including flights, lodging, and ground transportation and the tracking of the associated spend.
• Process invoices, including the creation of vendors and coding of invoices in our financial systems.
• Correspond with vendors to issue purchase orders and resolve outstanding invoice issues.
• Arrange tracking, mixing, and mastering sessions.
• Draft transmittal letters and form legal documents, including Work For Hire and Remix agreements.
• Coordinate the creation of project numbers and royalty accounts with the Royalty Department.
• Assist supervisors with day to day management of recording projects.
• Engage in contractual and internet research projects.
• Have the opportunity to assume contract administration responsibilities for artist contracts.
• Prepare contract execution copies and coordinate the appropriate signatures.
• Open, record and distribute mail and other important legal notifications to the appropriate parties within the company.
• Prepare and submit expense reports.

About you:
• Have a college degree or several years' relevant experience as an executive level assistant in the music industry.
• Skilled in Microsoft Office and Outlook.
• Highly organized, resourceful, have an attention to detail and are rigorous about proofing your own work (and occasionally the work of others!).
• Excellent phone and communication skills.
• Comfortable with spreadsheets, numbers and math.
• Self-motivated and able to complete tasks independently.
• Calm under pressure.
• Hard worker for whom no task is too small.
• Have a passion for music and a genuine interest in the music industry.

It would be music to our ears if you also had:
• Some knowledge of the recording processes a plus.
• This is a position for someone who likes to work behind the scenes and as part of a team.
• Prior assistant experience including answering phones, booking travel and handling T&E.
• Paralegal experience, experience as an executive level assistant at a media company, music industry experience or any combination of the foregoing!
• Completed an undergraduate music business program.
