The Job
Provides administrative & clerical support to three Creative Executives and the Creative Development group.
The Daily
1. Arranges executive calendar and schedules meetings and conference calls, independently or as directed.
2. Drafts email correspondence, submissions, reports, etc., for supervisor's review & approval.
3. Answers telephone and screens, logs & rolls calls. Cover senior executive desks as needed.
4. Maintains various files, records, & grids, and makes copies/scans of reports, documents & other materials.
5. Designs and updates various data systems to track relevant information (submissions, competitive projects, etc.).
6. Compiles writer, director & actor lists for projects at supervisor's discretion.
7.
Opens, reviews, records and distributes or organizes mail.
8. Coordinates international & domestic travel & hotel accommodations.
9. Greets clients, talent, creative staff & executives.
10. Prepares check requests or expense reports and follows through.
11. Responds to inquiries, orders supplies and handles specific assignments for direct supervisors and department.
12. Performs other related duties and departmental projects as assigned.
The Essentials
Previous secretarial experience required.
Previous experience at a studio, agency, management company or production company preferred.
High School diploma required.
College Degree preferred.
Typing at 60 wpm and proficiency with Word required.
Working knowledge of Microsoft Office, MAC and InEntertainment.
Must have knowledge of file set-up, maintenance, filing procedures, basic math, spelling, grammar, punctuation, and English usage, report & letter formats.
Strong interest in scripts and general film knowledge preferred.
Familiarity with agents/agencies, producers and film community in general preferred.
Working knowledge of Feature Writers and Directors preferred.
