Recruitment Coordinator, Executive Search International (12 months FTC)
JOB RESPONSIBILITIES
Recruitment Operations
• Support the full Executive Search process for all assignments across APAC. To include, where appropriate, preparation of accurate search strategies, candidate briefs and shortlist documents
• Coordinate, schedule and confirm candidate interviews and meetings with Search Directors and Clients where required across APAC.
• Together with relevant Search Director, maintain accurate activity for assignments to ensure real time data/progress is captured with the correct format and in accordance with WarnerMedia process and legal requirements
• Manage the opening and closing of assignments through completion of various documents, processes and relevant instructions
• Full support with the drafting and posting of job adverts both internally and externally
Systems Management
• Build a strong working knowledge of the key candidate management systems and databases and applicant tracking systems used on a daily basis, including Encore and Workday, ideally at a 'super-user' level
• Ownership for the closing out processes for all Executive Search roles, ensuring accurate and timely completion for global reporting purposes
• Management of Encore (our in-house Executive Search database) for the APAC team with responsibility for the opening and closing processes for all searches, and regularly reviewing and maintaining data integrity and adherence to correct Encore processes by the International team
• Close working relationship with wider US operations teams to ensure seamless reporting and consistent application of Executive Search processes
• Participation on domestic and International training and update calls for all systems as appropriate
Reporting
• Update and maintain all reports in conjunction with team to fulfil US reporting requirements
• In partnership with the US operations teams, monitor quarterly reporting slates, finalise and submit quarterly reports, and complete accurate year-end reporting for the International team
• Monitor and communicate team performance metrics on an ongoing and adhoc basis, identify and report key figures to support strategic exercises led by the Recruiters
Other
• Organise team meetings including collating relevant reports prior to meeting and collation of agenda points
• Process expenses and invoices for the team
• Support with the creation of PowerPoint presentations as required
• Arrange and coordinate travel arrangements for team, clients and candidates as required
• Diary management for team as required
• Support with the onboarding for any incoming team members
• Booking of conferences and off-site events as required
• Manage the office requirements for team, i.e.; booking meeting rooms, liaising with facilities/I.T and other general offices needs when appropriate
• Manage the online filing system for the team
• Perform other related duties as assigned
JOB REQUIREMENTS

• Well organised - must have proven organisation experience of working in a similar, busy office environment as an Executive Assistant, coordinator, or an administrative support role
• Can-do attitude, flexible and goes the extra mile - proven ability of handling high volume of work activity to tight deadlines, often across different time zones
• Customer focused – experience of working with senior candidates and executives, able to offer an excellent customer service, always. Experience of client management and communication with relation to business activities
• Systems literate - experience of working with a candidate database and applicant tracking systems preferred and must have advanced knowledge of Outlook, Word, Excel, and PowerPoint
• Strong communication and telephone skills
• Ability to drive personal objectives with minimal supervision
• Experience managing complex diaries, preferably working across different time zones
• Ability to communicate effectively with people of all levels inside and outside the Company and good at building strong working relationships within the organisation
• HR, In-house recruitment, recruitment/executive search or transferable skills from another discipline desirable
• Direct experience of working within media, entertainment, publishing or technology sectors is desirable, as is an interest or knowledge of international media businesses
• Must have good analytical and problem-solving skills
• Must have excellent written and verbal skills
• Must have the ability to pay close attention to detail
• Second language advantageous
