The Team

The team you will be joining look after technologies that have a global footprint in both B2C and B2B businesses. GREATT (Global Retail, eCommerce, And Tours Technologies) predominantly focus on B2C and look after the tech that supports our Global Retail, eCommerce and Tours businesses. They are responsible for all operational, digital, marketing, and guest-facing technologies. The GREATT Portfolio spans across the following key businesses and their back-end operations:
• WB Studio Tour London
• WB Studio Tour Hollywood
• WB Studio Tour Tokyo (opening 2023)
• Platform 9 ¾ Retail Shops, London
• Harry Potter On Location, London
• Harry Potter Flagship Store, NYC

GRESST (Global Real Estate, Studio and Security Technologies) predominantly focus on B2B and look after all the business tech that supports the WB Studios Leavesden, as well as Security and Real Estate tech internationally. Amongst others, it includes businesses across the Studio Lot in Leavesden, as well as the famous Post-Production studios in Soho, London. A diverse tech portfolio, spanning technologies that run Scheduling, Billing, Rentals, Security, Facilities, and Corporate Real Estate. Both GREATT and GRESST serve as the single-stop global central hub for all tech ops and support activities for those business portfolios.

The Role

As an Analyst for the global technology portfolios of GREATT and GRESST, you will play a pivotal role in the success of those teams. This is a hands-on role and will include administrative assistance in portfolio management, budget maintenance, process improvement initiatives and project workstream support. You will work closely with the group's Executive Director, where analytical and portfolio management skills will be highly utilized and further developed.
Often being the face our team, managing vendors or liaising with our business partners and other technology groups within WarnerMedia. Outside of your core responsibilities of portfolio management, you will gain exposure to project and enhancement work, as well as compliance initiatives working alongside the Project Ops and Tech Ops teams for deliverables that you are accountable for. This a great opportunity to excel in a fast-paced environment, encompassing a diverse range of applications. You will have the chance to focus on initiatives within numerous business areas, across the whole application ecosystem – providing further insights into Business Analysis, Project Management, Portfolio Management and Operational Support.

Key responsibilities
• Budget planning, maintenance & management of departmental miscellaneous expenditure
• P-Card management
• Tracking of spend against budget(s), cost allocations, actuals
• Vendor management (on-boarding, maintenance renewals, quotes, purchase orders)
• Manage compliance projects, such as PCI training and assist in similar larger initiatives
• Actively lead project coordinator functions
• Documentation management
• Hardware & Software asset management
• Authoring Project documents and training materials
• Status Reporting
• Executive team meeting minutes & action point follow-through
• Manage the induction and on-boarding of new permanent or contractor staff
• Manage departmental visitor arrival & security passes
• Coordinate travel for management
• Maintain excellent vendor and outstanding business partner relationships

About you

You must have a customer-first mindset, highly self-motivated and able to work with limited supervision.

Energetic and meticulously organised; you are expected to have impeccable communications skills and be able to balance multiple concurrent and/or conflicting priorities.

Passionate about your work and problem solving; flexible, resilient, driven and committed. Exhibiting a strong team orientation, with an innately proactive and not reactive approach to work.

Available to work flexible hours between geographies to accommodate cross-time zone collaboration, as well as responding during off-hours to lead decision-making of critical issues is expected.

Prior experience

Proven prior experience to successfully managing the administration of a large technology portfolio. Prior experience in multi-geography implementations is required, due to the global and diverse nature of our portfolio. Experience in forming and leading a 'best in class' approach to portfolio management, which can be mirrored within the wider technology group. A solid understanding of complex application ecosystems which entail both in-house and vendor-managed models. Further:
• Experience in administration and budget financials
• Experience in handling both OPEX and CAPEX budgets
• Experience in forming outstanding presentation decks and documentation
• Experience in managing multiple tasks and proactively seek guidance when faced with competing priorities
• Exposure to Business Analysis & Project Lifecycle desirable
• Knowledge of apps such as BOX, Slack, Lucidchart and Salesforce desirable

Education & Qualifications
• Undergraduate degree -- preferred
