The Job

Warner Bros. Entertainment Inc. seeks a Program Coordinator for the Monetization & Workplace Tech department.

The Program Coordinator is responsible for acting as an integral part of the various programs within the MWT MPM portfolio to help with tracking program status, financials, and schedules in conjunction with our Program Managers, Workstream Leads/Project Managers. They are also responsible for various administrative functions such as onboarding and offboarding resources.

The Daily
• Program Administration: Handles administrative tasks such as onboarding and offboarding contractors and FTE resources. Consolidating weekly status reports. Follow up and monitor project actions items, issues, risks, decisions and change requests and any other relevant items.
• Financial Tracking: M a nage and maintain the program budgets on a weekly basis; tracking T&M hours through our online billing reports, fix bids and T&E costs through our standard A/P processes.
• Document Management: Establish and maintain document repositories in MS Teams, SharePoint, and Confluence. Capture meeting recordings and publishing them to our central repository, MS Teams. Capture and distribute high level meeting minutes. Document administrative processes in detailed step by step documents as well as Quick Reference Guides; ensuring that the documentation is current and accessible to other coordinators and administrators.
• Schedule Management: Work with various workstream leads to set up project meetings ensuring that each meeting has an agenda which includes inputs and expected outcomes. Ensures that we leverage the appropriate web conference tools (WebEx or Teams)

The Essentials
• 4+ years as a Program or Project Coordinator
• Experience working in a cross-matrixed teams with several active workstreams
• High degree of commitment, independence, and self-motivation; enthusiasm for challenging work
• Proven ability to work with cross-functional teams to support the planning and coordination of our programs and their activities
• Experience managing budgets on a weekly basis and tracking T&M hours and fixed bid fees as well as Travel & Expense (T&E) costs
• Experience building positive relationships with internal and external team members
• Experience organizing a high volume of meetings and maintain concise agendas
• Experience onboarding contractor and employees through complex processes
• Experience in working on multiple projects simultaneously that include:
• Simultaneous workstreams and development teams
• Iterative agile projects with ongoing releases
• Experience in Media & Entertainment Industry
• Consumer Products experience preferred
• Undergraduate Degree Preferred
• Proven experience as Project / Program Coordinator or relevant position
• Knowledge of program management and development procedures
• Knowledge of budgeting, bookkeeping, and reporting
• Ability to work with diverse multi-disciplinary teams
• Excellent time-management and organizational skills
• Outstanding verbal and written communication skills
• Detail-oriented and efficient
• Functional knowledge of the following systems and processes:
• Jira & Confluence
• Monday.com
• MS Office
• MS Teams
• WebEx
• General office activities - walking, standing, sitting, speaking, finger manipulation, lifting, bending, etc.
• Must be able to communicate effectively and tactfully with all levels of personnel, both in person, on the phone or in virtual meetings
