We're looking for a Office Coordinator, to help us continue running our studio which was recently awarded an 'Outstanding Company to Work for' accreditation in Best Companies™ annual report – ranking #13 in the entire UK Technology Sector Companies list.

This role will suit an individual who can comfortably juggle multiple tasks – communicating progress and challenges proactively – and bring a professional, yet personal, approach under pressure.

Working in a small team, this role will be required to both plan and carefully consider tasks – but also adapt quickly, and show great flexibility, in the face of changing circumstances.

Based onsite in our Kentish Town studio, this role will likely have a varied pattern of hours (to either facilitate opening, or closing the studio) week by week.

Responsibilities:
• Ensure studio environment is comfortable and accommodating, keeping facilities well stocked and monitoring studio air conditioning/central heating
• Diligently capture and record business invoices and expenses, for submission to Finance Team – ensuring expenditure is authorised in line with company policy
• Complete and coordinate security checks alongside premises security, including office lock up/opening – and reporting incidents to management
• Support and coordinate fire evacuation drills, and routine Health & Safety Checks, and maintain a roster of available First Aiders and Fire Marshalls for emergencies
• Liaise with external contractors for cleaning, maintenance and emergency works, ensuring all checks are undertaken – and any disruption to office functions is announced and mitigated where possible
• Set up and arrange regular Studio events, such as monthly full-studio catering and company social events to celebrate employees
• Facilitate new starter inductions, organising desk allocation and studio access for new employees
• Host and greet visitors to the studio, helping to coordinate travel and scheduling arrangements for business visitors and industry talent – including arranging and filing Project Non-Disclosure Agreements where necessary.

Requirements:
• Experience in office/facilities management, preferably from the Media or Entertainment industries
• Excellent communication skills – with a proven ability to build relationships quickly, negotiate and influence with stakeholders at all levels of an organisation
• Experience processing and coordinating business expenses, business travel arrangements, and commercial agreements with suppliers/contractors
• Fully comfortable with Email, Microsoft Office package, and communication tools like Slack

Bonus Points:
• Training or accreditation in First Aid, Fire Safety or related Health & Safety categories
• Experience planning and delivering corporate events – for groups of over 250 people
• Experience in office management in a multi-cultural environment, with a diverse range of individual requirements and accommodations
• Experience working with high-profile talent in the media & entertainment industry
• Experience using Concur for Travel & Expenses
• Passion for the Games Industry
