The Job

WarnerMedia seeks an Executive Assistant for the Diversity department. The Department Assistant will support the VP of Equity and Inclusion Content and Pipeline, as well as coordinating Content department projects and providing department administrative support on an as needed basis.
• Assistant will be the first line of communication between internal and external partners, as well as the direct link between the Content and Pipeline team. We are looking for someone who is kind, professional and enthusiastic.
• We want someone flexible, pro-active and able to prioritize while handling changing demands
• Core responsibilities and contributions include managing assets, prioritizing the calendar of meetings, managing deadlines and deliverables, and interfacing with both internal and external clients to handle content related requests, as well as enterprise-wide staffing submissions.
• We want someone who is passionate about working in Equity and Inclusion as well as WarnerMedia's global portfolio of content.
• This position is great for someone who wants a bird's eye view of content across WarnerMedia's first-class portfolio of brands.

The Daily
• Coordinate scheduling for executive as well as team meetings with internal and external partners.
• Manage scheduling and tracking of E & I workshops for writers rooms across the enterprise.
• Reorganize and tag confidential database of writers' samples, updating writers work history using external industry databases and agency information.
• Maintain writer one-sheets and enterprise-wide submissions.
• Create and maintain project management systems using information gathered from various sources.
• Script and film coverage ongoing, Including possible management or creation of film festival coverage document for those attended by executive/team
• Maintain tracking of up-to-date staffing and resource needs enterprise-wide
• Maintain a familiarity with current landscape of writers and directors throughout the industry. This includes maintaining updated competitive lists and tracking current available pilot and episodic writers and directors using available databases and outside relationships.
• Maintain database and management of any confidential content related projects, as well as contact with outside partners. Ongoing.
• Organize all necessary documents in document management system; maintain file folders and system for ready access to documents and information.
• Build strong interpersonal relationships with client counterparts, a key component to gaining access to executives.
• Work closely with Executives and their direct reports across the E&I team to gain access and knowledge to valuable resources and ongoing information.
• Utilize relationship building skills to make key activities and requests happen.
• Handle all expense reports in CONCUR
• Process invoices in ARIBA
• Coordinate and/or edit presentations, build decks with direction from the executive
• Coordinate executive's participation in events when needed, including gathering and organizing talking points
• Purchase and/or coordinate executives' hardware (cell phone, laptop, printer, etc.)
• Coordinate executives' participation with boards, on behalf of company and outside of company.
• Additional responsibilities as they occur with the expansion and the development of the department.

The Essentials
• Minimum 2-3 years administrative or agency experience preferred.
• Strong interpersonal skills.
• Competencies: - client service - creativity - teamwork - organizational skills.
• Must be MS Office and Google Suite proficient.
• Knowledge of Airtable and Canva a plus.
• High level of confidentiality required.
• Strong organizational skills and ability to work efficiently in a fast-paced environment.
• Excellent verbal and written communication skills are required.

• Strong attention to detail.
• The ability to create systems and implement them effectively.
• The ability to work independently as well as part of the team.
• The ability to prioritize work to effectively handle projects simultaneously under tight deadlines
