Executive Assistant IV (Global Kids, Young Adults and Classics)

SUMMARY OF POSITION:

This Executive Assistant will be r esponsible for p roviding administrative support to the President of Global Kids, Young Adults and Classics. They will also be r esponsible for gaining sufficient awareness and understanding of: assigned projects; the scope and responsibilities of others in the department; and the importance of various relationships both internally and externally. The ability to work in a time-sensitive, detail-oriented and confidential environment is essential to this position. Candidate will interact with senior level executives and outside clients.

The Daily
• Arranges executive calendar or schedules meetings, independently or as directed
• Assists with special projects as directed
• Answers telephone, voice-mail, screens, logs and places calls
• Coordinates/arranges travel and hotel accommodations
• Prepares and processes expense reports regularly
• Makes photocopies of reports, documents and other materials
• Research internet for projects as needed and provide general industry research and analysis
• Provide formatting assistance on excel, PowerPoint and word documents as needed
• Prepares correspondence, reports, labels, contracts, etc.
• Composes memos and correspondence for supervisor's review and signature
• Maintains various files, records, indexes and logs, and orders supplies
• Creates and maintains schedules, reports and matrixes
• Other job related duties and projects as assigned

The Essentials

Work Experience
• Previous executive secretarial experience - minimum 3 years administrative assistant experience
• Knowledge of entertainment industry preferred
• Knowledge of television industry a plus

Education, Professional Training, Technical Training or Certification
• BA/BS degree preferred

Knowledge/Skills
• Proficient in Microsoft applications (Word, Excel, PowerPoint, Outlook) and Internet required (including ability to re-format documents and write basic excel formulas in a timely manner)
• Excellent verbal and written communications skills required
• Must have the ability to work overtime as needed
• Must possess exemplary organizational skills and strong attention to detail
• Must have the ability to communicate and listen effectively and tactfully with persons on all levels, in person and on the telephone
• Must be able to maintain a cheerful disposition in a fast-paced environment and during stressful times
• Must be able to review, compare and comprehend detailed documents
• Must be extremely detail-oriented and organized, and have good judgment
• Must be able and willing to take initiative and to be proactive to problem solve and anticipate as appropriate within the scope of responsibilities of this position
• Must be extremely resourceful
• Ability to maintain accurate Industry Contact information and notes relating to them
