Job Description
Warner Bros. Games Boston is a Warner Bros. Games development studio focused on creating free-to-play games for mobile platforms. The studio is utilizing its extensive expertise in creating persistent online worlds that foster powerful social gaming communities to develop its hit mobile game, Game of Thrones: Conquest.WB Games Boston is seeking an Administrative Assistant (temporary) for their Needham, MA studio. The individual in this role will assist the local team with a variety of duties and will provide general administrative support for the studio. This position is onsite, Monday - Friday, at the company's Needham location.
The Daily
• Represent the Studio with a great first impression for visitors and newcomers
• Build strong relationships with staff and regular visitors
• Actively engage with and assist in the planning and execution of staff morale events (including idea generation, vendor and venue research, ordering supplies, RSVPs, day of support, and payment assistance)
• Partner with HR in the new hire onboarding process
• Support the WB Games team by helping organize weekly meetings; book travel; fill out expense reports; order team lunches; and keep office supplies stocked
• Oversee the upkeep and stocking of all kitchen and common area supplies; including but not limited to beverages, dry goods, fruits, snacks and other items as needed
• Partner with the finance team in the monthly preparation of Purchasing Card reconciliations
• Work with Vendors to maintain up-to-date, accurate vendor data (including Address, Contact Info, Bank Info, Payment terms, Payment status, etc.)
• Provide studio wide administrative support as needed
The Essentials
• 1-2 years of administrative experience
• Proficiency with MS Office including Outlook, Excel, Word and PowerPoint
• Excellent written and verbal communication skills
• Ability to organize information in a clear and concise manner
• Solid Project Management skills, ability to manage multiple priorities
• Self-motivated with demonstrated initiative and ability to work independently
• Ability to adhere to confidentiality requirements and protection of sensitive data
• Any Event planning experience is a plus
