Job Description
The Job:

Reporting to the Department Manager and working closely with the Advance Senior Clerk – Billing Administration and Systems (ASC-BAS), this position is responsible for daily processing at a high level of our complex Costume rentals billing operation, new account processing and customer service and our adherence to best accounting principles and practices, both in-person customer and website facing, and assists ASC-BAS in the facilitation of the daily smooth running of the costume rental workflow, billing systems and billing processes through the entire life cycle, including storage and records retention for this area.

Specific hands-on, daily activities include:

This position assists in all phases of the daily administrative operation of Costume rental billing and new account administration. This includes appointment scheduling, new account processing and rental billing. Must become highly proficient in RTPro, or future data processing program, Square or future merchant processing, and remote desktops. Assist with customer service requests for special handling, complaints related to billing. Assist ASC-BAS with Finance, EFS and A/R departments with reconciliation. Clerk - Performs clerical tasks, such as reviewing and coding data, and conducting research as required.

The Daily:
• Works in concert with ASC-BAS in the e xecution of all rental billing, particularly high-level billing . Process daily billing as driven mainly, but not exclusively, by the Orders To Bill report. Back up to ASC-BAS to prepare EOM department productivity reports and assists with annual record retention upkeep.
• First point of contact answering customer questions in person, via email, and via phone regarding; 1) obtaining department access (COVID protocols, drive ons and appointments), 2) researching invoices/payments and assisting customers with costume rentals, rental returns, website and Cloud Checkin introduction and issue troubleshooting, 3) monitor in person customers and provide instruction to ensure department policy adherence.
• Obtain customer check out signatures and issues and logs customer hold tags.
• Field calls from vendors, answer questions about access and parking.
• Shares maintenance and accuracy of rental department filing system.
• Maintains PPE supplies, customer and department office supplies, department promotional items (pens, tape measures), break room coffee and water supplies Vets and opens new accounts. Position assesses new accounts requests. Verifies all new account set up, especially COD accounts whose payables we maintain exclusively within the department. Expedite for Management approval high risk requests. Opens new accounts. Takes initial deposits. Assist with ASC-BAS with Finance and A/R Depts. to reconcile monthly Direct Bill and Error reports, A/R correction requests, reconciliation of the Unearned GL, future development and management of bill codes and multi GL billing. Interface with EFS and Treasury on check and ACH payments and fees relating to merchant processing.

The Essentials:
• College degree or certificate required. Business or Accounting degree a plus.
• Prior work experience must include strong accounting, complex billing, banking or retail experience.
• Production experience helpful.
• Strong computer skills with ability to trouble shoot and work with various software and hardware – PC, Mac and Web interfaces (95%).
• Proficiency in Microsoft Excel, Word and Outlook required (95%).
• Rental Tracker Pro knowledge helpful (85%).
• Previous experience using merchant credit card processing - Square (50%) helpful.
• Detail-oriented, self-directed, takes initiative. Ability to work effectively and multi-task in an open, fast-paced, customer-facing, highly dynamic environment.
• Requires demonstrated organizational and superior customer service skills, the ability to handle high volume of phone calls, emails and in person inquiries, often simultaneously.
• Must be able to communicate effectively with clients, support vendors, and all studio and department staff and management.
• Ability to lift 25 lbs. or more.
