Job Description
We are seeking a driven team player with strong communication skills and an enthusiasm for collaboration. This person will take on a lead role for a group of executive assistants, steering the group of EAs to success, offering guidance and direction in addition to being a point person for the department as well. This role will require the ability to anticipate needs, problem solve and identify solutions. It's essential to remain agile while multitasking and be able to prioritize requests based on business needs. The ideal candidate will think practically and be solution-oriented with demonstrated efficiency and the ability to maintain confidentiality. This role will require a willingness to grow with the department's needs, taking on additional responsibilities as time progresses.
Your role accountabilities:
• Provide administrative support to the multiple VPs across the Finance department.
• Create a collaborative environment for the collection of EAs that you will lead. Taking responsibility for the group's efforts, ensuring that all projects and business needs are being tended to and completed in a timely manner.
• Calendar management, including scheduling both in-person and virtual meetings across multiple departments and time zones.
• Provide department support including preparation of correspondence, file maintenance, scanning, answering calls/emails.
• Coordinate travel arrangements, reconciling expenses.
• Attending department meetings, taking minutes, distributing minutes and following up on action items, disseminate information to the team when required.
• Create necessary purchase orders.
• Collaborate with internal partners to ensure prompt payment and that invoices are coded to the correct budget.
• Lead and/or manage team projects and events as needed.
Qualification & Experience:
• Minimum of 5 years as a corporate administrative assistant or equivalent.
• Experience working in a hybrid work environment supporting multiple locations and executives.
• Proficient with Microsoft Suite, Google Workspace, Zoom, DocuSign and Adobe.
