Job Description
We're searching for a stellar candidate to serve as a Music Coordinator to the Creative Music Strategy team in connection with their music supervision role across six networks within the ViacomCBS family.The Creative Music Strategy team is responsible for all aspects of creative music supervision, music business affairs and music licensing coming in and going out of the complete ViacomCBS brand umbrella. We are a dynamic team that creatively sources and integrates music into our original programming opportunities, negotiates music deals, and ties up copyright and clearance issues.
Reporting directly to the Vice President of Creative Music Strategy, our Music Coordinator will be responsible for the following:
• Research copyright information (i.e., artists, record label information, songwriter information, publishing information and film and TV distributors) via various internet search engines, as well as in-house programs MVA and DM5.
• Assisting in licensing operational functions including but not limited to:
• Maintaining music licensing tracking reports and advising status of metadata delivery to department stakeholders
• Receiving, vetting and uploading project data into internal file management systems
• Assisting in backlog of data research tied to composed music projects
• Curating music for projects from the Viacom Music Library, inclusive of liasing directly with production teams on music pulls.
• Assisting Vice President with all administrative tasks associated with music marketing plans associated with show and Soundtrack launches.
• Tracking and updating programming rights reports and show tracking reports. Assisting with end of year accruals, cue sheet reporting and other operational administrative duties as needed.
• Tracking, archiving and administering the execution and payment of licenses, securing signatures on license agreements, processing payment through MARKET, mailing out payment with cue sheets to vendors, and returning fully executed licenses to Licensors and Staff. This also involves obtaining W-9's and 8Ben's, explaining new W-9 forms to vendors, helping them complete form, and collaborating with Vendor Setup to update the accounting software.
• Music Deliverables: Facilitate administration of music deliverables for ViacomCBS brands. Receive and vet music metadata and music files from productions, composers, and music supervisors related to music placed in ViacomCBS content.
• Updating and distributing organizational documents for Creative Music Strategy team, including Music Contact Lists and Viacom Organizational Charts.
• Work closely and communicate regularly with numerous internal groups including Production, Production Management, Music and Talent Department, Digital, Social, Marketing, Business and Legal Affairs.
• Researching time-sensitive payment information in SAP, attending to customer services needs for payment inquiries, and coordinating payment issues with Accounting, Production Management, Tax Compliance and Accounts Payable.
• Organizing and maintaining placing cue sheets on the shared drive and in their respective folders.
• Scanning all agreements into our file server.
• Support and maintain relationships with external partners including music publishers, performance rights organizations, artist management, record labels, music libraries, composers, and record labels
BASIC QUALIFICATIONS:
• A love of everything related to synching music to picture.
• Minimum of 2+ years experience in an office environment.
• Microsoft office suite (outlook, teams, word, excel, PowerPoint).
• Exceptional organization skills.
• Sharp attention to detail.
• Strong quantitative and research skills.
• Strong written and oral communications skills with co-workers and executives at various levels within and outside the department and the company.
• Mathematical skills to apply toward practical situations like tracking reports, licensing fees, etc.
• Reasoning ability to comprehend and prioritize importance of various tasks.
• Ability to draw conclusions while also knowing when to ask for guidance.
ADDITIONAL QUALIFICATIONS:
• This position requires a strong ability to multi-task duties.
• Ability to work independently without constant supervision and to make prudent judgment calls when Vice President does not need to be involved.
• Preferable experience working in the TV/Music/Entertainment industries, ideally within the capacity of music supervision and/or music and media licensing.
• Experience using Airtable software a huge plus.
