Job Description
Responsibilities
The Assistant to the Senior Vice President, Global Special Projects + Events, Universal Pictures Theatrical Marketing, will assist the SVP and the team in all event planning activities for our feature films.

Essential Responsibilities:
• Assist with premiere planning details:
• Manage Exec RSVPs, confirming receipt of invite and follow-up
• Hire premiere car company and coordinate premiere cars
• Create and distribute staffing sheet for each premiere or event
• Oversees day-of logistics to ensure details are executed as planned
• Oversee celebrity requests for carpet and premiere access
• Process invoices and payments for vendors
• Responsible for COVID event protocols including, but not limited to:
• Coordinate COVID testing for all Universal staff and press for events
• Includes coordinating pre-flight testing
• Coordinates on site testing at events
• Send HR a consolidated list of all individuals required to be tested/vaccinated and ensure they have complete lists of names to review results by specific dates
• Manage office needs for the SVP:
• Process expense reports
• Book travel / prepare itinerary
• Manage phones, contacts and calendar
• Reconcile PCard each month
• Coordinate meetings, calls, messengers
• Organize and distribute all production/publicity contact sheets and pictures sheets for each new feature film.
• Maintains updated filmmaker and talent representation contact info.
• Maintain log of charity auction winners and fulfill obligations in a designated time frame.
• Manage internal Special Projects + Events calendar and department calendar.
• Other duties, as assigned.

Qualifications/Requirements
Eligibility Requirements:
