Executive Assistant to SVP of Revenue & Digital Strategy (1 Year Contract)

The UMC team works in a hybrid, flexible environment with three days a week from our creative campus located in Liberty Village, Toronto and two days to work virtually.

Reporting to the Senior Vice President of Revenue & Digital Strategy, the Executive Assistant is a key member of the team and supports the SVP with the execution of all day-to-day administrative tasks. The ideal candidate is professional, personable, detail-oriented, organized, sharp, quick on their feet and able to juggle multiple tasks in an ever-changing work environment with enthusiasm.
The ideal candidate is exceptionally bright, multitasking and self-motivated, someone who thrives in a fast-paced environment, able to stay ten steps ahead and not let anything fall through the cracks. In addition to being organized, analytical, strategic and resourceful, you must possess strong business judgment and communication skills needed to interact with a variety of people and job functions.
Responsibilities
• Organize and coordinate the day-to-day schedule of the SVP Revenue & Digital Strategy including the coordination of external and internal meetings, travel arrangements and accommodations, answering calls, taking messages, preparing outgoing correspondences, presentations and agendas
• Provide all-encompassing administrative support including but not limited to processing invoices and expenses, compiling weekly and monthly reports, taking notes in various meetings, ordering concert tickets, keeping track of follow-up items, opening/sending out mail and maintaining files
• Ensure ongoing smooth uninterrupted operation of the Executive's office including cross-team meetings and direct team member travel
• Anticipate issues and initiate appropriate action to ensure the most effective use of the Executive's time.
• Assisting the Executive's team in executing aspects of the department's day to day initiatives
• Generating, maintaining and communicating key planning documents and timelines
• Contributing to a positive, dynamic work environment
• Manage a complex calendar s and schedule s
• Acting as a liaison for direct reports
• Other duties as assigned
Requirements
• 3+ years of experience providing high-level administrative support
• Friendly and enthusiastic personality with a professional demeanor in dealing with the public
• Strong interpersonal and diplomacy skills with a high comfort level in dealing with senior management and individuals at all levels
• Excellent organizational and follow-up skills, with the ability to prioritize, take on multiple tasks, meet deadlines and to work in a fast-paced environment
• Discreet while dealing with highly sensitive and confidential informatio n
• Strong sense of responsibility and attention to detail
• Excellent written and verbal communication skills.
• Reliable and dependable with strong work ethics.
• A passion for improving work processes for the team and for the company
• Proficient working knowledge of Microsoft Office including Outlook, Word, Excel etc.
