The Role:
The Office Assistant position is responsible for all front office functions for PNC Music Pavilion. The position will report directly to the Operations Manager. This is a seasonal, full-time position from February through October working an average of 35-40 hours per week.
Responsibilities:
• Answer main phone while demonstrating the ''Heart of Service'' attitude and direct calls as appropriate or take detailed messages.
• Provide customer service support as needed.
• Knowledgeable of all show information for PNC Music Pavilion and CMCU Amphitheatre.
• Greet visitors and guests cordially.
• Accept, sort and maintain log of all incoming packages and notify employees of packages received.
• Retrieving, organizing, and distributing any mail.
• Assisting with outgoing deliveries and coordinating pick-ups.
• Help facilitate building/office related issues.
• Provide administrative support to various departments as needed.
• Assist with filing and A/P coding.
• Maintain cleanliness of kitchen and office organization overall.
• Ordering office supplies when needed.
• Assist and support any venue staff in their job functions as needed.
• Entering any show related information in reports when needed.
• Assist with venue projects when necessary.
• Update any staffing lists, passes, or laminates.
• Learn time management operating system and onboarding tools to help payroll administrator and department managers.
• Assist with venue onboarding process for seasonal staff.
• Help with organizing and distributing any department uniforms, name badges, etc.
• Organize any lost and found items, donation requests, or IT-related items.
• Work closely with both the GM and OM on any necessary venue tasks or reports.
• Oversee the back-up receptionist schedule and duties.
Qualifications:
• General office experience.
• Discretion and confidentiality is essential.
• Flexible availability Monday-Friday 10-5 (typically from the months of Feb-Oct); flexible to work some show nights and weekends.
• Knowledge of Excel, PowerPoint, Word, and Outlook.
• High level of communication skills.
• Ability to multitask under high-pressure situations.
• Ability to understand instructions quickly.
• Ability to complete tasks on time within a deadline driven environment.
• Ability to follow through on projects.
• Be willing to learn and accept new responsibilities.
• Must be dependable and reliable with a proven track record of excellent attendance.
• Ability to interact professionally with vendors, clients and guests.
• Must have a positive attitude with a cheerful, upbeat disposition, easygoing demeanor and a great sense of humor.
