Job Description

Our teams in Montreal, and throughout our global network of studios, produce creative, visually stunning and technically challenging VFX and digital projects of the highest quality, and we are looking for candidates with a desire to be involved in the success of these projects.

The receptionist will be the first friendly face at the studio with dynamic administrative and reception responsibilities. The successful candidate will have excellent customer service and strong organizational skills. Daily tasks include:
• Greeting visitors and Clients in a professional and efficient manner
• Managing staff and guest access passes including new employee badges
• Managing visitor NDAs
• Ensuring the Covid-19 visitor management policy is adhered to
• Ensure reception environment always reflects the highest standards in client care and presentation
• Arrange private car or taxi transportation, as requested
• Ensuring security of building is maintained during main business hours, including checking for entry passes and managing staff / visitor signing books
• Immediately reporting any suspicious activity and/or breach in buildings security
• Manage company inbox including forwarding correspondence and responding to emails in a timely and professional manner
• Work with Orientation Coordinator to support with employee onboarding tasks and organization
• Using the delivery management system, oversee the efficient management of couriers and deliveries, and communicate to recipients the arrival of packages; ensure deliveries are received in the AP system
• Sending sick/late emails
• Providing a first-class hospitality service for Client visits
• Collaborate with the Office Manager to support guests throughout the duration of their visit.

• Strong communication skills, oral and written
• Ability to work efficiently under tight deadlines and prioritize tasks
• Strong attention to detail
• Strong knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint)
• Bilingual (English and French), oral and written
