POSITION OVERVIEW

The Festival Coordinator, Volunteer Resources is charged with working as part of a team to recruit, place, and onboard 1,600+ volunteers to support the operations of the Sundance Film Festival.

Working closely under the direction of the Senior Manager, Talent, and Associate Manager, Volunteer Resources, the Festival Coordinator, Volunteer Resources supports Sundance Institute’s commitment to recruiting and retaining outstanding talent to join our teams. This position will work with a large group of assigned volunteers to provide excellent support and communication for the Institute’s volunteers. Each Coordinator will be responsible for working with different teams and venues to understand their needs and place volunteers including in-person needs for Park City, Salt Lake City, the Sundance Mountain Resort, and online needs for our Festival Platform.

This temporary position works full time from Tuesday, October 11, 2022 through Friday, February 17, 2023 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Park City, Utah office and will be expected to perform onsite work duties as of January 3rd, 2023. Employees may start in a commutable distance to Park City, UT or remotely from a state we currently legally operate in, until the required onsite work date listed above.

A total of six (6) roles are available, four (4) of which will be based in Park City during the Festival, and two (2) of which will be based out of Salt Lake City during the Festival. Those based in Salt Lake City will not be eligible for Festival provided lodging, and applicants local to Utah are preferred.

Top priorities include but are not limited to...
• Driving the full cycle recruitment process, including sourcing, assessing volunteer applications, interviewing, and placing volunteers to best meet the needs of the Festival.

• Working with assigned Festival teams to understand their needs and place qualified candidates in roles.

• Fostering strong relationships through all forms of communications with all candidates and assigned staff teams.

• Communicating clearly and consistently with Festival teams regarding their volunteer needs and placement.

• Providing support as well as accountability with Festival teams to ensure alignment with department processes.

• Providing ongoing and accurate information to assigned groups of volunteers (350+) and timely responses to their inquiries.

• Generating, issuing, and tracking onboarding paperwork.

• Supporting recruitment plans and processes to encourage diversity and increase accessibility within the organization.

• Collaborating closely with the Senior Manager, Talent and Accommodations teams to accurately distribute and report on Festival provided lodging for eligible volunteers.

• Communicating expectations and accountability on a regular basis with volunteers to support an effective and positive volunteer experience.

• Assisting with tracking, building, and facilitating training sessions.

• Auditing, tracking, and monitoring volunteer schedules, attendance, and absences via our online scheduling system.

• Establishing and maintaining partnerships internally and externally with universities and community organizations to build talent pipelines.

• Entering information in volunteer databases daily, maintaining up-to-date and accurate information.

• Ensuring Festival teams are empowered to provide comprehensive feedback to volunteers and hold them accountable.

• Tracking and distributing volunteer benefits based on volunteer commitment levels

• Conducting venue visits throughout the Festival to check-in with volunteers and provide timely resolution to challenges as they arise.

• Providing on-call after hour coverage during the Festival to answer volunteer related questions, concerns, or emergencies as necessary.

• Collaborating with the Institute’s Health Safety Committee to communicate expectations and accountability for health safety requirements in relation to COVID-19.

• Reviewing submitted volunteer evaluations with departments and conducting follow-up to compile relevant information as needed.

• Writing a comprehensive wrap report, as directed.

• Supporting ongoing Talent Team and Festival projects.

You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.

• 1-2 years of related work experience.

• Excellent written, verbal, and interpersonal and communications skills to effectively influence individuals of varying backgrounds and learning styles.

• Ability to maintain confidential information.

• Excellent organizational skills, with the ability to manage multiple projects and prioritize.

• Proficiency in Google and Microsoft Office applications.

• Must be a self-starter with strong analytical skills.

• Experience with databases and FileMaker Pro a plus.

• Prior experience working with volunteers a plus.
