Seasonal Festival Associate Manager, Events
Considerations: This position works full time (remotely) out of our Park City, Utah office. May be required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned.
Position Summary: Manages planning and execution of assigned events during the Sundance Film Festival. This role will work from November 2, 2020 to February 9, 2021 OR October 19, 2020 to February 9, 2021. The rate of pay will be $20.00 per hour.
Duties and Responsibilities:
• Plans and implements logistical needs for assigned events (digital and/or live)
• Creates and edits invitations for Sundance events using the platform Splash That. Works with event host(s) and departments on guest list curation.
• Develops and executes event programs, e.g. run of show, program remarks, etc.
• Maintain and update budgets for assigned events, and support Sr. Manager with processes and tracking department budget and expenses as requested.
• Provides ongoing and timely communications with venue managers, vendors, and Festival Operations Team regarding each events structure and needs.
• Supports the event department with various projects, including assisting team members with day-of event execution.
• Coordinates with marketing to create event collateral, including assisting with messaging and design, gathering feedback and approvals, and order and compiling materials.
• Documents assigned events and their details items such as BEO, evaluation sheets, alcohol sheets, vendors, event correspondences, attendance (RSVP vs. actual), issues, etc.
• Provides day-of event management to deliver high quality, successful, and professional events.
• As applicable, manages assigned volunteers and staff support for each event. Works with the volunteer department to acquire adequate volunteer coverage for Festival event needs, creates schedules, provides ongoing and accurate information to department volunteers and provides timely responses to their inquiries.
• As applicable, obtains necessary permits, equipment rental orders, production assistance needs, signage orders, security needs, evacuation plans etc.
Oversees all equipment, furniture, etc. needs are ordered and delivered and returned by set deadlines. Established necessary production timelines
• As applicable, ensures all stakeholders are kept up-to-date on planning, schedules and logistical needs to plan, order, and track various event items, including signage, sponsor activations, photography and content, guest transportation etc.
• Completes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• 3 years experience planning and executing events.
• Outstanding communication skills, verbal and written.
• Strong interpersonal and professional skills required to work effectively with a variety of people.
• Excellent organizational skills including self management of work schedule.
• Must be able to maintain confidential information.
• Working knowledge of Gmail, Google Drive (including Google Docs and Google Sheets and Google Calendar).
• Ability to work nights and weekends around events and key deadlines.
