Job Profile:

Simon and Schuster are looking for an enthusiastic and energetic Office Administrative Assistant to join their dynamic publishing Company on a fixed term basis. This is an exciting role for someone who is keen to work in a friendly yet fast paced environment and has a can-do attitude.

This is a varied role for someone that is motivated and versatile. Reporting to the Head of Office and Facilities, you will be a key person in ensuring all staff are sufficiently supported in their work environment.

The Role:

You will help the Head of Office and Facilities in meeting the needs of the Company with efficiency and to a high standard that the Executive Board, staff, authors and general visitors would expect. The role requires someone with a positive attitude and ability to use their own initiative.

Key responsibilities will include assisting to implement and record new health and safety policies and procedures, provide general clerical/admin support e.g. e-mailing, completing standard forms, preparing resources, and responding to routine correspondence , and maintaining computerised records/management information systems
On occasion you will be required to cover the Office & Facilities Assistant, meeting and greeting visitors; assisting on the main phone line and email inbox; organising the post-room, managing supplies and reception, whilst looking after our office environment. This is an active role and good manual handling skills are essential due to the nature of the post both incoming and outgoing.

The Candidate Profile:

We are looking for someone that has experience in office administration role or similar. This role will be varied and will require someone who can be hands on and well organised with excellent communication skills. You will be required to communicate with the wider business, so confidence and personability are essential. A basic understanding of office health and safety assessments would be preferable but not essential.
