Job Description
Sesame Workshop is looking for a Vice President, Philanthropic Development Operations. Reporting to the Chief Development Officer, the VP of Philanthropic Development Operations provides strategic management and vision for the implementation of Sesame Workshop's Salesforce CRM and associated reporting and analytics tools, as well as management of the operational functions of the fundraising teams. The VP of Philanthropic Development Operations is responsible for scaling the operations and systems to set Sesame Workshop up for success and growth, ensuring our systems meet the needs of our complex and evolving fundraising programs. The Philanthropic Development Operations department will serve all of Philanthropy Development, with a special focus on supporting the evolving Individual Giving Program and team and work in partnership with the Finance, Marketing and Communications departments. The ideal candidate for this position is a strategic thinker with deep knowledge of nonprofit fundraising and a strong understanding of end-user business needs.

Data, Analytics, and Reporting
• Develop new dashboards and key financial and fundraising reports (during and post new CRM implementation)
• Work closely with the fundraising teams to establish and track key metrics, and create meaningful reports that identify current donor trends to inform future actions
• Fulfill all of the additional data, analytics, and reporting needs of the teams - custom list pulls, complex analysis, revenue projections, pipeline prospecting, etc.
• Support the refresh of an online fundraising strategy - inclusive of but not limited to monthly giving/sustainers program, list acquisition efforts, digital advertising, SEO optimization, overall list health and data-driven testing strategy for digital marketing mix, staying abreast of current online giving trends to grow Sesame Workshop online giving program year-over-year
Operations
• Conduct an audit of all of current business processes, systems, and workflows
• Reassess roles and responsibilities of current team and present a staffing plan to effectively support the needs of the fundraising teams
• Manage a small team and as needed, recruit, onboard, new team members
• Mentor and provide professional guidance for team members

Financial tracking and reconciliation
• Audit and if required, overhaul and rebuild financial tracking and reconciliation in partnership with Finance
• Develop GL and aging reports to minimize manual manipulation of financial data

Gift processing
• Determine roles and responsibilities; centralize all gift processing functions
• Update gift entry and acknowledgment system to ensure all gifts are deposited/charged accordingly and entered into the CRM and that donors are acknowledged in a timing fashion
• Introduce systems of checks and balances
• Work to minimize exception reports and manual processes

Salesforce CRM Project Leadership
• Oversee the CRM replatforming with the Chief Development Officer, Senior Manager, Philanthropic Development Operations as well as Director, CRM (''project team'') and be accountable for its successful delivery
• Develop an internal communications plan for the project, including sending regular updates on project progress to the stakeholders, Operations Team, and CRM Steering Committee
• Ensure the needs of the fundraising teams are accurately described and translated from business case to implementation
• Oversee core project team's project-related work on a day-to-day basis, bringing in SME's as needed
• Set priorities for developing CRM support and training materials, including defining internal business rules and data entry standards
• Partner with Project Team and implementation vendor to develop end-user training materials and SOPs for each function based on best practices

CRM Ongoing Management
• Plan team trainings and be the resource for support and problem solving
• Promote an environment of self-sufficiency, enabling users to effectively complete daily tasks not limited to data entry, running reports, and list pulls
• Evaluate user roles and responsibilities to determine their privileges within the CRM
• Continuously work with fundraising teams to ensure their business needs are met
• Maintain documentation around best practices, policies, and SOPs

Stewardship and Communications
• Ensure cultivation and stewardship benefits are fulfilled across all giving levels to ensure donor satisfaction and retention

Qualifications
• 10+ years of experience in nonprofit management
• Deep experience with nonprofit fundraising in varying roles
• Experience with CRM conversions with cross-functional stakeholders
• Proven ability to identify and implement solutions for organizational pain points
• Strong strategic planning skills to ensure organizational alignment
• Experience overseeing vendor relationships with the ability to lead meetings and monitor output and timelines of vendors and consultants
• Ability to work independently; move projects from conceptual stages to launch; and handle multiple and often competing deadlines
• Outstanding, proven time management and organizational skills
• Experience building and leading a team with a strategic fundraising mindset and a service-oriented approach
• Ability to deal calmly with pressure and deadlines and to communicate with diplomacy
• Strong interpersonal, written, and oral communication skills and comfort working in a high-energy, fast-paced and collaborative environment
