Job Description
Sesame Workshop is looking for a Live-Action Coordinator. The Live-Action Coordinator provides all administrative support to the head of Live Action and the Sesame Street Supervising Producer as well as working on cross-department projects such as presentations and research.

Responsibilities:
• Provides all day-to-day administrative support for Head of Live Action Production and Sesame Street Supervising Producer
• Schedules all appointments/meetings and maintains calendars for EP and Supervising Producer as well as the department-wide calendar tracking PTO
• Create and complete expense reports for all corporate card production-related expenses, working with Production Managers and Dept Heads to track budget codes and projects
• Manages Content Review calendar
• Supports in tracking Post Production notes process with Post Production Coordinator
• Manages all travel arrangements
• Helps coordinate and process bi-weekly employee timesheets & team PTO calendars
• Serve as a go-to team member for auxiliary and overflow projects
• Hires and oversees the year-round intern program
• Coordinates meetings including AV and communications tools as needed, manages all needed and recurring internal/external video conference calls on Zoom/Teams, etc
• Runs production office bullpen and acts as Production Office Coordinator when on-site for Production, delegating tasks to interns/PAs/Transpo
• Support workflow of Sesame Workshop co-productions ie. Helpsters and interface with Apple, HBOMax/Warner to book meetings, share assets, help manage distribution lists
• Orchestrates annual set visit schedule and coordinates studio guests for staff, company clients, celebrities, etc.
• Act as Direct Contact for production-related donations and partnerships, ie. Make-a-Wish and auction events
• Manages Daily Security lists with KAS
• Forecast ordering and monitor swag (branded plush and product) distribution
• Creates presentation decks, pitches, and show bibles – sourcing materials for staff, department, and external meetings. Subsequent presentation of decks in meetings and coordination of assets related to content.
• Completes awards submissions for Sesame Street and coordinates ceremony RSVP's and tickets; Acts as liaison between Sesame and HBO's Awards and Talent Relations teams
• Update shared calendars to reflect master Sesame Shooting calendar for all projects in Production, PTO, and Misc. Events
• Manage Production Management Project Tracker with Production Managers and distribute internally to heads of Creative
• Maintenance and upkeep of all Organization Charts for Live Action/Special Project Production and job descriptions
• Special Projects as directed including Control Room/Script PA for shoots and managing all Film Green paperwork

Qualifications:
• Some experience in TV Production and/or as an Administrative Professional is preferred
• Needs to know Microsoft Office Suite: Excel, Word, PowerPoint
