Job Description
The HR & Benefits Coordinator is a people-facing role, contributing to the day-to-day operations of the Human Resources Department. With a primary focus on benefits, leave of absence and wellness program administration, this position will be the first point of contact for general benefits questions, assist with program administration, data maintenance and processing, as well as program execution. It requires strong computer and analytical skills, attention to detail and compliance, strong communication skills and the ability to effectively manage multiple workplace demands. This is a regular, full-time salaried non-exempt position.
JOB RESPONSIBILITIES:
• Respond to day-to-day benefits questions for employees and escalate inquiries to the appropriate contact
• Maintain a positive relationship and act as a liaison with our benefits broker
• Assist in the daily administration of all employee benefits programs including new hires, terminations, and life event changes
• Continue to develop knowledge to become a subject matter expert on all Phillies benefits
• Assist with pension plan (NUPP) administration and act as a liaison with MLB
• Coordinate the timely payment of all benefits related invoices with accounting – auditing, reconciliation and backup support
• Assist with Open Enrollment and New Hire On-boarding, including employee meetings
• Process changes as needed within the HRIS system (UKG), carrier, and vendor administration systems
• Assist in the coordination of wellness programs including annual flu shots, mammograms, skin screenings, blood drives, go red for women campaign and other wellness-related events
• Assist with organizing and scheduling all Employee Assistance Program (EAP) events with input from the HR Department
• Work closely with the HR Manager to drive the Open Enrollment process by educating, assisting and following-up with employees across all levels of the organization to ensure timely enrollment
• Coordination of the employee exit process as it relates to benefits, including COBRA administration, and provide back-up support as needed
• Process and maintain all disability and FMLA claims. Under the direction of supervisor, advise employees in determining eligibility, completing paperwork, and following up with necessary contacts (employee, supervisor, HR and Payroll Departments)
• Assist with worker's compensation administration such as claim submittal
• Create and run ad hoc benefits reports such as 1095-C reporting, general testing, etc.
• Contribute to projects and tasks that drive the digitalization of HR and benefits processes
• Assist in the maintenance of employee files in our electronic file management system
• Ensure compliance with all federal, state and local employment laws
• Order and post labor and workers compensation posters with direction from supervisor.
• Perform administrative work involving HR functions and maintain related records
• Complete all education requirements to act as a notary public on behalf of the organization
• Ad hoc projects and additional support to the HR Team as needed
SKILLS AND QUALIFICATIONS
• 1+ years of experience in human resources and/or benefits
• Bachelor's degree required, SHRM or CEBS certification a plus
• Experience with HRIS and benefits databases
• Excellent organizational and time management skills with strong attention to detail
• Proven ability to create strong relationships internally across all levels within an organization and externally with outside vendors
• Excellent communication skills with a strong commitment to providing a high level of customer service
• Knowledge of federal, state and local employment laws, particularly Section 125, COBRA, ERISA, FMLA and ADA
• Strong analytical and problem-solving skills with the ability to use independent judgment in reaching decisions
• High degree of professionalism and ability to maintain confidential information
• Must be flexible and able to adapt quickly to change
• Strong knowledge of Microsoft Office, proficient in Excel
