Job Description

Convergent, Image, Ink & Willow, WaterBrook and Multnomah books seeks an Administrative Assistant to join its team. Reporting to the EVP & Publisher, VP & Deputy Publisher, and VP & Publisher, the Administrative Assistant will assist with daily operations across the imprints. The role is ideal for someone who has an eye for detail, is extremely organized and excels in communicating and working in a fast-paced environment.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
• Maintain very busy schedules for three executives via Outlook
• Coordinate author meetings for teams in NY and Colorado
• Make travel arrangements and prepare itineraries
• Process bills and expense accounts
• Prepare or compose a variety of letters, memos and reports
• Screen telephone calls, incoming mail, publications and other correspondence (when in the office)
• Oversee emails in supervisors absence
• Maintain attendance and vacation schedules for NY and CO teams
• Schedule meetings, maintain files and calendar
• Order books and supplies as necessary
• Handle daily office activities such as filing, copying (when in the office)
• Utilize various PC programs in the performance of assigned duties (such as Word, Excel, Powerpoint)
• Assists with special projects throughout the department, when needed
• Drafts and distributes confidential correspondence to department staff, authors, and agents
• Serve as back-up for other assistants in the department.
• Keep track of on sales dates
• Plan department celebrations (bridal shower, anniversaries, etc)

ESSENTIAL QUALIFICATIONS/REQUIREMENTS:
• Prior office experience
• Excellent organizational skills and the ability to prioritize and meet deadlines
• Strong communication skills, both verbal and written
• Ability to work independently and multitask
