Position Title: Production and Operations Assistant

Department: Creative Services

Corporate Area: Digital & Marketing

Status: Full-Time/Regular/Non-Exempt

Supervisor: Senior Director, Creative Services Production

Position Overview:

PBS' Creative Services team is responsible for producing marketing assets (e.g. video promos, digital ads, social media graphics, print ads) for the promotion of PBS' Brand, member stations, and General Audience Programming.

The Production and Operations Assistant supports the team by providing general office and production support. Responsibilities include processing invoices, providing production support to a team of Producers, and providing administrative assistance to the Vice President of Creative Services. This is an exciting opportunity to gain a foundation in creative marketing production.

Key responsibilities will include, but are not limited to:
• Providing general office support to the Creative Services team, including:

• Working with Accounting and Finance departments to process and reconcile vendor invoices and payments, ensure project codes are accurate, and solve issues that arise

• Coordinating meeting schedules and arranging meeting activities

• Assisting in the on-boarding of vendors and contractors

• Facilitating communications between Creative Services and other PBS departments and external groups

• Providing administrative support to the Vice President, Creative Services as directed, with responsibilities including:

• Arranging meeting logistics and departmental functions

• Preparing materials

• Providing assistance to video/print/digital production team as requested; this may include:

• Assisting in organizing productions

• Importing and updating project information in department's Project Management system

• Acquiring raw video materials, viewing screeners

• Compressing, resizing and versioning video/print/digital files

• Uploading/maintaining assets and metadata in PBS Digital Asset Management system

• Completing required paperwork for departmental promo and music libraries

• Researching rights for footage, talent and music, searching stock footage libraries

• Willingness to learn basic video clip editing skills, as needed. Familiarity with editing systems like Final Cut/Premiere/Avid, or design apps InDesign/Photoshop a plus

Requirements for success:
• 1 year of professional office and/or production assistant experience

• Minimum two years college or equivalent preferred

• Educational courses in Film Studies, Visual Communications, Media Management, and/or Advertising preferred

• Experience with project management software Airtable a plus

• Experience and/or interest in film/video/media organization a plus

• Must be a team player

• Must be well-organized, detail-oriented, and consistently reliable

• Computer literacy required: Mac OS, Microsoft Outlook, Word, Excel, Slack

• Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered. Proof of vaccination required.
