Administrative Coordinator

Department: General Audience Programming

Corporate Area: TV Programming

Status: Full-Time/Regular/Non-Exempt

Supervisor: Vice President, Program Scheduling & Vice President, Programming and Operations

Position Overview:

The General Audience Programming department is responsible for overseeing the development, delivery, and scheduling of diverse primetime content for distribution as well as strategic direction for a range of series and specials across multiple PBS platforms including linear broadcast and digital. In addition, GA Programming works with other PBS departments to coordinate ancillary and beyond broadcast initiatives and project components.

The Administrative Coordinator reports to both the Vice President, Program Scheduling and Vice President, Programming and Operations. The individual provides a high volume of day-to-day administrative support and provides friendly and efficient customer service to stations, internal staff, and external stakeholders.

Key responsibilities will include, but are not limited to:
• Provide high level administrative support for the two Vice Presidents.

• Coordinate calendars, make travel arrangements, manage office supplies, distribute mail, e-mail and faxes, fulfill shipping requests, prepare expense reports, coordinate timesheets or leave reports, make copies, request equipment, submit printing requests, submit check requests, and submit Solution Center requests.

• Type agreements and other documents; draft correspondence; proofread documents with high degree of accuracy; operate word processing and standard office equipment.

• Keep and maintain well-organized and up-to-date files, both electronic and paper.

• Conduct research and compile documents at the request of the two Vice Presidents.

• Answer customer and member station questions and forward to appropriate person(s).

• Perform certain office-wide function as assigned, including project specific requests from the two Vice Presidents.

• Provide administrative support for meetings, including coordinating schedules with participants, creating presentation decks, making A/V and food arrangements, reserving meeting/conference rooms and hotels sites, following up with appropriate parties, etc.

• Perform other duties as assigned.

Requirements for success:
• 2-3 years' administrative experience or equivalent in a fast-paced environment.

• Associate degree in business, communications or related field, or equivalent combination of education and experience.

• Organized and detail-oriented with the ability to prioritize multiple tasks.

• Discretion with regard to confidential information

• Customer Service orientation

• Ability to take initiative to solve projects

• Strong interpersonal relations skills.

• Attention to detail and resourcefulness.

• Mastery of Microsoft Office, including Word, Excel and PowerPoint is a must.

• Strong writing skills.

• Familiarity with standard office equipment.

• Strong typing skills.

• Excellent written and verbal communication skills.

• Ability to work comfortably, confidently and productively to meet deadlines.

• Familiarity with standard office equipment.

• Interest in Public Media or multi-platform content distribution

• Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered. Proof of vaccination required.
