Job Description

Responsibilities
Manages the studio side of all Publicity Junkets and Custom Content days, working alongside outside vendor to produce the events. Assists on Experiential Activations throughout the world including at major events such as New York Comic Con, SXSW and CCXP Brazil.

Please note: This role is a temporary staff position with an end date.

Responsibilities:

JUNKETS
• Internal communication with talent teams to confirm dates, junket location(s), participating talent, hours and restrictions
• Internal communication and updates to all departments with junket information
• Work closely with Glass Engine to finalize production needs
• Compiling press junket lists and sorting thru all requests to ensure accuracy
• Act as a main liaison between UP publicists and talent teams
• Relay talent feedback and update all internal docs for UP publicists
• Relay final junket schedules and assist with all updates and changes
• Compile final press invite lists based on talent feedback, available time and publicists' needs
• Communicate final press list to the executive team for approval
• Track all press confirmations and changes on the press lists
• Relay all press lists to Glass Engine producer for scheduling purposes
• Work closely with Glass Engine to check correct assigned times and press needs on schedule
• Responsible for junket screening bookings of theatres, DCP, security
• Responsible for staffing junkets and junket screenings
• Promo items orders and timely delivery to junket locations
• Responsible for booking junket hotels or alternative space to complete interviews and specialty shoots
• Responsible for talent and filmmaker riders
• Main contact for all hotel needs (BEO's, rooms and space needs, junket groomers etc)
• Full logistical support of junkets (if destination or at a special location: booking vendors, facilities, catering, press activities & events)
• Assist with press, talent and crew needs on day of junket
• Work closely with NBCU travel team to book and approve press travel
• Track all junket costs for final budget
• Manage the finance and legal for press junkets including creation of PO's, payment of invoices and all contracts
• Report all junket dates and changes to MPI calendar
• Studio liaison with streamers and studios for shared press and junket dates
• Covid protocol liaison with NBCU HR and EHS team
• Oversee Covid testing for all in-person staff and press attending junkets

CREATIVE CONTENT DAYS
• Airtable liaison between Glass Engine and UP departments and talent teams
• Work closely with Glass Engine in creating a custom landing page on Airtable and appropriate tabs for each CCD
• Internal communication with talent teams to confirm dates, CCD location(s), participating talent, hours and restrictions
• Internal communication and updates to all departments with CCD information and updates
• Responsible for aggregating talent feedback and relaying back to teams and helping with updating Airtable
• Covid protocol liaison with NBCU HR and EHS team
• Oversee Covid testing for all in-person staff, partners and press attending CCD's
• Manage the finance and legal for CCD's including creation of PO's, payment of invoices and all contracts

EXPERIENTIAL MARKETING
• Assist in the brainstorming of Experiential Activations for all Theatrical Release Films
• Assist in the production of Experiential Activations which can include location scouting, pre-event planning and day of event logistics.
• Manages legal contracts, invoices, vendor agreements, food and beverage and additional rental needs
• Manage and Assist Global Experiential Concepts, including ideation, multi department approvals, Territory communication and production
• Assist with Special Events such as New York Comic Con. This includes Hotel Rooms and Per Diems, Event Badges, VIP/Executive needs & tickets, transportation, schedules and all legal and invoices
