Job Description

Responsibilities
The Special Projects Coordinator is in the Office of the Chairman, reports to the VP, Business Lead. The role entails working closely with the VP, Business Lead on priorities for the Chairman's office ensuring the seamless execution of tasks and assisting as a back-up to the chairman's EA/COS. The job includes administrative, project and business support, as well as meeting/event support. The Special Projects Coordinator is a key member of the team supporting the department's day-to-day personal and business operations, ensuring that all aspects of the Chairman's Office run smoothly.

Duties and Responsibilities:
• A team player, willing to jump in on any project or assignment, no matter big or small
• Process expense reports and perform other administrating duties as assigned including providing back-up updating Chairman's calendar, travel and medical appointments
• Execute special projects for / with Chairman and various Ad Sales Executives and their teams
• Manage office inventory and curate client gifting
• Manage the approval and fulfillment process, as well as budget, for charitable and client sponsorships
• Assist in compiling research, briefs and sponsorship decks for Chairman's internal & external meetings, speaking engagements, panels and events
• Collaborate with internal NBCU communications and events teams overseeing and executing on logistics for events and trips
• Act as proxy for Chairman/COS as needed
• Manage Chairman's social media engagement and develop creative and engaging content
• Excellent at problem-solving, taking initiative, proactively multi-tasking, and the ability to prioritize and meet deadlines
• Precise attention to detail with exceptional communications skills, verbal and written
• Possess strong interpersonal skills with ability to communicate effectively including senior executives within the organization
• Self-starter who is eager to learn, grow and develop; proven ability to thrive in a fast-paced environment
• A positive attitude and an excitement for the work and the overall mission
• The ability to collaborate with cross-functional teams as well as adapt and learn new technology
• Ability to exercise judgement and a high level of discretion in handling confidential and sensitive information
• Experience working events/talent and for senior executives preferred

Qualifications/Requirements
Qualifications/Requirements:
• College Degree
• Preferred experience/skills include a combination of Executive Assistant, Event Planning, Personal Assistant and Client Services background, familiar with interpersonal relationships, timely flow of information and deadline-oriented tasks
• Experience or interest in the media and advertising industry
• Attention to detail, organized and ability to work in a fast-paced sales environment
• Ability to multi-task and meet deadlines
• NYC Savvy
• Must adhere to confidentiality at all times
• Polished and professional demeanor at all times
• Ability to work independently with little direction
