Responsibilities
The Office Assistant will work in partnership with and under the direction & guidance of the Executive Assistant & Executive Office Manager to provide administrative and personal support to the Chairman of Universal Filmed Entertainment Group.
Essential Responsibilities:
• Handle research for important and high-volume gifting for high profile clientele
• Complete administrative tasks such as ordering office materials re-stocking necessities and updating and maintaining rolodex
• Run errands for the office and anything related to gifting, on or off the lot
• Handle office duties such as incoming mail/packages and booking conference rooms and IT support for in-office meetings
• Send thank-you notes via Paperless Post
• Order and coordinate meals for in-office meetings and on location when needed
• Create drive-on passes for guests
• Interact with personnel across all divisions of Universal Pictures, including production, marketing/publicity, distribution, business affairs, communications, Focus Features, and DreamWorks Animation.
Qualifications
• Bachelor's degree or higher
• Minimum 1 year of demonstrated successful organizational skills and the ability to prioritize in an Assistant role
• Minimum 1 year experience and demonstrated ability in Outlook, Microsoft Word, Excel, PowerPoint
• Ability to establish and maintain good working relationships with individuals within Universal and in the business community

• High degree of professionalism and the ability to interface well with Senior Level management and discretion in handling confidential information
• Extreme attention to detail and organizational skills
• Ability to multi-task and prioritize in a fast-paced environment and be flexible with changing schedules
• Strong sense of urgency
• Impeccable communication skills and the contextual understanding necessary to assess a high volume of scheduling requests efficiently
• Strong interpersonal skills that will support the ability to successfully work in a multi-assistant office

• Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
• This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
