Role Summary

The Executive Assistant will perform a broad range of administrative responsibilities to support the EVP, Global Human Resources within the NBCU News Group. This role will also provide administrative support to the HR SVP for NBC News. The Executive Assistant will be responsible for administrative support activities including, but not limited to: calendar management, planning and setting up meetings, and providing day to day office support as needed. The ideal candidate will be experienced in handling a wide range of administrative support related tasks with the ability to work independently in a fast-paced environment, follow-through on projects and tasks with little or no supervision as well as maintain and uphold sensitive and confidential information.

Responsibilities
• Provide administrative support to the EVP and other senior HR members as needed including calendar management, travel arrangements, answering phones, expenses, etc.
• Schedule and coordinate staff meetings, conferences, client meetings, assist in the organization and logistics of employee events, roundtables, learning and development initiatives including room reservations and technology set-up
• Determine importance of meeting requests to schedule and prioritize accordingly
• Draft, type, and proofread correspondence, produce creative presentations, spreadsheets, and other documents as needed
• Track expenses, including processing invoices, and follow-up
• Maintain and update departmental organizational charts
• Arrange travel and all accommodations including comprehensive and detailed itineraries
• Act as a liaison with all internal and external clients/departments
• Assist with internal communications with staff as well as communications with clients
• Manage special projects as designated, specifically dealing with administrative and coordination matters
• Other duties as assigned

Qualifications

Basic Requirements:
• Bachelor's Degree or equivalent work experience
• Minimum 5 years of prior administrative experience as an Executive Assistant

Eligibility Requirements:
• Must be willing to work in New York, NY as well as remote
• Must have unrestricted work authorization to work in the United States
• Must be 18 years or older

Desired Characteristics:
• Expert knowledge of Microsoft Office: Word, Excel, PowerPoint, Outlook required
• Exceptional follow-through and attention to detail
• Extremely flexible, highly organized, and able to easily shift priorities
• Ability and willingness to take on the administrative duties, heavy workflow processing
• ''Customer service'' minded professional
• Demonstrates ability to be discrete and protect highly confidential data and information
• Exceptional communication skills, with the professional savvy of communicating at all levels
• Possess a natural, yet professional ease at working with and relating to the needs of employees in a fast-paced, ever-changing environment
• Ability to prioritize, manage multiple projects simultaneously, deal with deadline pressure and follow-through on issues on a timely manner
• Experience scheduling travel arrangements
• Ability to prepare, review and summarize miscellaneous reports / documents / presentations
• Experience with working with Executives, exposure to sensitive information requiring tact and diplomacy
• Ability to maintain a high level of confidentiality
• Proven organizational skills, self-starter with strong decision-making ability.
• Effective time management skills and detail orientation

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
