Job Description
Role Summary:
The HR Coordinator for Universal Studio Group (USG) East provides administrative support for a fun and fast-paced client group supported by the USG East Coast HR team. This position is responsible for interfacing and problem solving with a variety of business partners and providing HR administrative and transactional support to television productions in New York, Eastern Canada, and Atlanta. This position will report to the VP and Director, Human Resources and is a unique opportunity to gain visibility into different parts of the company and develop your HR experience at NBCUniversal.
This position is based out of the iconic 30 Rock, New York, and works general business hours Monday – Friday from 9am to 6pm, with occasional work in the evenings and/or weekends. Opportunity for overtime.
Responsibilities:
• Process SAP transactions for employee lifecycle data changes, including new hires/terminations, transfers, promotions, and timekeeping actions.
• Oversee the administrative process for all leave of absence transactions, including partnering with payroll to ensure accuracy of LOA pay (e.g. payroll removals).
• Serve as primary user for all HR systems (SAP, SmartRecruiters, etc.) and run reports, as assigned.
• Act as a first point of contact and respond to routine HR questions from client group including, but not limited to, benefits, payroll, vacation or redirect employees to appropriate internal Centers of Excellence.
• Assist in planning and execution of events, such as local employee engagement events, dining reservations, employee activities, and winter holiday party.
• Provide administrative support to USG HR team, including preparing presentations, ad hoc reports, scheduling meetings, conference room reservations and technology set-up.
• Complete all administrative aspects of new employee onboarding, including I-9 verifications, offer letters, employee badge requests, partnering with Talent Acquisition to post open jobs, and maintaining database of job descriptions for client group.
• Schedule exit interviews and assist with administration of separating employees.
• Complete Employment Verification Letters for client group, as requested.
• Review, track, and respond to assistive animal applications on television productions.
• Provide administrative support during HR investigations by note taking and uploading files to the case management system. Maintain the highest level of confidentiality.
• Ensure organizational charts are updated regularly.
• Partner with other departmental Coordinators to ensure physical setup is complete for all new employees including phones, workspaces and computers.
• Maintain and update all employee email distribution lists, as well as staff contact lists.
• Attend and participate in regular corporate HR meetings, as required.
• Keep apprised of new and updated regulations, company policies & procedures.
• Draft HR communications for distribution to business clients, as needed.
• Assist with support of HR executive's calendar.
• Oversee HR department Page and assign tasks, as required.
• Ad hoc projects, as assigned.
Qualifications
Basic Requirements:
• 1+ year of relevant work experience.
• Bachelor's Degree or equivalent work experience.
• Demonstrated proficiency in Microsoft Office Suite.

This role has been designated as hybrid, generally contributing to the office a minimum of three days per week.
