Summary:
The Administrative Assistant is responsible for managing schedules, coordinating meetings and handling travel arrangements for SVP and VP level in Franchise Strategy and Creative.

Responsibilities include:
• Manages complex scheduling and coordinates meetings with internal and external parties, including arranging studio visits and meeting rooms
• Coordinates travel schedules and arrangements; collects required travel documentation
• Prepares and processes P-card and expense reports in accordance with established travel policy guidelines; ensures the timely processing of expenses utilizing electronic processes for payment to Corporate credit card
• Maintains proper recordkeeping and filing system for all work
• Composes and types e-mail correspondence and agenda management
• Performs administrative tasks as needed, (e.g. compiling decks, photocopying, filing)
• Assists other department members as necessary
• Assists in making arrangements for temporary help, storage, meeting offsites etc.
• Handles heavy phones (including logging, placing and rolling calls)
• Acts as back up for other assistants on team
• Maintains contact lists
• Tracks and manages all PTO (vacation, sick, floating holidays, personal days) for annually paid Franchise Strategy & Creative employees
• Assist other department members in deck preparation, and additional projects in development

Qualifications/Requirements
Qualifications/Requirements:
• At least 1 year of administrative experience
• Proficient in Microsoft Word, Outlook, PowerPoint, Excel, and Keynote
• Knowledge of all basic office equipment required
• Bachelor's degree (or a High School Diploma/GED and minimum of 5 yrs administrative assistant experience)

Eligibility Requirements:

• Bachelor's degree strongly preferred
• Proficiency with Keynote is highly desired

• Demonstrate initiative by confidently self-starting improvements to office procedures, reports and processes and requires minimal supervision
• Pays attention to multiple details and multiple tasks while minimizing errors
• Organized in approach and execution of work, with ability to manage multiple tasks
• Demonstrates ability to work on a team and willingness to give assistance to co-workers in other areas
• Must be able to maintain department business with the utmost confidentially
• Flexible and nimble, demonstrating experience working in and with a positive attitude toward a rapidly changing business environment
