Job Description
Responsibilities:
As an Executive Assistant, you will provide administrative support to the head of Booking at NBC News. This position will serve as the office liaison, communicating with internal NBCU divisions and with external businesses. Please note this is a two year PEP (Production Employee) assignment. However, based on performance review there is the opportunity for a staff conversion.

Job Duties
• General administrative duties including meeting planning, travel planning, expense reports, scheduling, phone/mail, supplies, filing and other business matters.
• Schedule and arrange meetings and conference calls with internal and external parties at a fast, constantly changing pace.
• Responsible for managing the News Team schedule to ensure 24/7 coverage.
• Organize and maintain many confidential booking lists for all the daily and weekly pitch meetings with various executive and senior producers.
• Track trends and new developments in the News space by reading industry publications, monitoring social media and tracking competitor's initiatives. Report to Executive as necessary.
• Collaborate with senior members of the team to ensure Executive has most up to date meeting lists.
• Assist in drafting and executing competitive, cross-network booking proposals. Must be on top of flagging all key dates for when booking proposals/pitches need to be submitted.
• Help with vital and comprehensive research for various booking pitches and important meetings.
• Plan team events including staff meetings, senior team meetings and off-sites when necessary. This includes managing all aspects including vendor selection, catering, audiovisual and other logistics. Work with minimal supervision to achieve meeting logistical goals within budgets.

Qualifications/Requirements
Basic Qualifications
• Bachelor's Degree or equivalent experience
• Minimum of one year experience providing executive-

level support.
• Excellent communication and presentation skills, both

verbal and written.
• Proficient in Microsoft Office applications including Word,

Excel, PowerPoint, and Outlook.
• Proven ability to collaborate in an administrative team

environment.
• Detail-oriented and have excellent organization skills.
• Proactive approach with the ability to seek out answers

and resources on own.
• Ability to handle confidential and sensitive information

with discretion.

Additional Job Requirements
• Must be willing to work in New York City
• Must submit an attestation disclosing your COVID-19

vaccination status and, if partially or fully vaccinated,

submitting your vaccination record no later than 7 days

following commencement of employment.
• Must be fully vaccinated against COVID-19 at the

commencement of employment or must undergo regular

• Must be willing to work flexible hours, under tight

deadline pressure, including breaking news. The ability to

work overtime as needed.
